Primary Function of Organization Unit: The Office of Contracts and Grants oversees post-award administration for NC State University. Contracts and Grants staff supports department and college Research Administrators, faculty, and staff by managing the cornerstones of Post-Award Administration including: project ID setup, deposits, invoicing, letter of credit draws, accounts receivable, financial reports to sponsors, new award/attribute review, audit coordination, prior approval request approvals, regulatory checklists, effort reporting and general compliance oversight.
Essential Job Duties: The Senior Fiscal Assistant fulfills two purposes: 1. to perform as Team Lead for the other Fiscal Assistants 2. to perform the essential duties assigned to the Fiscal Assistants. As Team Lead, the Sr. Fiscal Assistant provides oversight for Fiscal Assistants training and assigned daily tasks to ensure tasks are completed accurately, efficiently and in accordance with established policies and procedures. Accomplishing the tasks assigned to Fiscal Assistants provides vital support to the Office of Contracts & Grants by maintaining an accurate and efficient operational process of managing the funds which support a multitude of research and educational projects. Duties associated with this position, which impacts the retrieval and analysis of financial information, require extreme levels of accuracy, which include but are not limited to: reviewing the approved project agreements and financial arrangements, identifying essential information required to establish initial project/budget guidelines, assisting Accounts Receivable with cash management/reconciliation, taking action on financial transactions as needed and maintaining project financial files and databases in adherence to University, State and sponsors' file retention requirements from setup, thru storage, to final destruction, and assisting with Facilities and Administration Cost Proposal.
Department Required Skills: Understanding of Generally Accepted Accounting Principles (GAAP). Strong analytical and verbal/written communication skills. Strong computer skills including MS Word, Excel, Access and other software routinely used in a business setting. Excellent Customer Service skills. Ability to lift and move boxes and weighing approximately 30 pounds, with or without reasonable accommodation.
Preferred Experience, Skills, Training/Education: At least two years post award experience in the administration of sponsored awards. Experience with PeopleSoft Financial Systems. Knowledge of the University and State financial processes.
