Customer Service Representative

Job description

Greets visitors and performs general administrative duties. Handles incoming calls and may operate a multi-line telephone system. May assist other administrative staff with overflow work, including word processing and data entry.

  1. Manages reception desk and serves as a resource for all faculty, staff and guests visiting the office and provides assistance as needed
  2. Responsible for answering office phone providing information and/or transferring/redirecting calls to the appropriate contact
  3. Schedule and confirm appointments and maintain event calendars
  4. Check visitors in and direct or escort them to specific destinations
  5. Inform other employees of visitors’ arrivals or cancellations
  6. Copy, file and maintain paper or electronic documents and records
  7. Make travel arrangements and schedule meetings based on itineraries
  8. Front line customer service position that will assist the public with registrations by entering information into the EMS, taking payments and printing receipts at the point of sale
  9. Greet customers at the registration window
  10. Creates, edits, and merges student profile records in enrollment management system
  11. Respond to student inquiries regarding registration process and all course offerings, addressing customer needs and/or routing customers to suitable staff when appropriate
  12. Reconcile cash receipts, credit cards, and check sales at the end of shift
  13. Knowledge of and compliance with CCPE/KSU/BOR policies and procedures
  14. Responsible for records maintenance and document imaging, maintains all records of assigned area through scanning, indexing, and retrieval of records as requested

Hours are Monday - Thursday from 10:15am-6:15pm with a 30 minute lunch.

  • Able to deal with multiple projects at one time
  • Proficient with computer applications and programs (i.e. Microsoft Office suite)
  • Strong attention to detail and strong organizational, planningand follow up skills
  • Strong customer service skills and phone and e-mail etiquette
