About the Position

**This recruitment is for two positions and is open to current SJSU employees only**

The Administrative Services Representative works independently and is responsible for providing primary information/reception desk coverage for University Personnel, including greeting guests, monitoring the flow of customers, processing new hire paperwork, analyzing employment documentation, verifying eligibility to work, triaging high volume of phone calls, and distributing pay checks. This position also provides administrative support to the University Personnel department and is the primary point of contact for desktop support for common areas and facilities needs.

Minimum Qualifications

Completion of a high school program, technical/vocational program, or their equivalents combined with three years of related office work experience required.

Preferred Qualifications

-Bachelor's Degree or Equivalent work experience
-Customer service experience
-Experience processing new employee paperwork
-Experience working with Federal Form I-9
-Experience with multi-line phone system
-Experience in high-volume reception area
-Experience with PeopleSoft Human Resources

Knowledge, Skills & Abilities

-Knowledge of PeopleSoft Human Resources
-Knowledge and understanding of HR policies and procedures
-Demonstrated excellent customer service skills
-Demonstrated excellent oral and written communication skills
-Ability to handle high volume reception area, with many interruptions including incoming phone calls and visitor traffic in a professional manner
-Ability to interact and communicate effectively with people at all levels of the organization and of different cultures
-Ability to achieve successful outcomes in handling difficult situations and customers
-Ability to respond to routine inquiries and explain standard policies and procedures to a wide range of individuals (students, staff, faculty, public)
-Ability to show initiative, pay strong attention to detail and confidentiality
-Ability to effectively present information in one-on-one and small group situations
-Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions
-Ability to listen, comprehend and interpret what others are saying; share information with others and facilitate open exchange of ideas and information
