Director of Scheduling & Events


Description/Job Summary

  • Schedule events and reserve space and equipment in the scheduling software program.
  • Schedule and make arrangements for events including meeting facilities, audiovisual equipment, tours, catering referrals, and other set-up requirements as needed.
  • Complete all documentation related to an event to include collect ion of payments, verification of certificates of liability, and the preparation of daily deposits.
  • Develop, promote, and maintain a network of relationships with numerous College departments whose participation is essential for successful events.
  • Maintain a liaison relationship including, but not limited to, Public Safety, cam pus dining services, Facilities, records office, media services, and academic departments.
  • Assist in coordinating safety and security issues in collaboration with Cam pus Public Safety and Facilities and Planning.
  • Leads teams of people assigned to an event.
  • Work with academic units to analyze, set enrollment targets, and manage the academic schedule - including number of sections of various courses, delivery modes, locations, times and days, department/division caps, etc.
  • Meet enrollment and efficiency targets.
  • Make schedule adjustments in cooperation with academic administrators to improve space utilization and meet the needs of students and faculty.
  • Resolve scheduling conflicts within and among academic units and troubleshoot errors in course and section parameters as issues arise.
  • Work with academic and student services un its to enforce course pre-requisites, enrollment caps, and other hard-coded registration restrictions.
  • Establish and monitor compliance with standard scheduling procedures.
  • Work closely with Deans, Associate Deans, Academic Coordinators, and Student Services personnel to match BCCC course offerings with student needs and best practices.

Required Qualifications
  • Master's Degree in business management, hospitality management, marketing or related areas
  • Minimum of 3-5 year in scheduling and event planning or related function
  • Excellent time management and communication skills
  • Ability to manage multiple projects independently
  • Microsoft Office proficiency
  • Excellent customer service skills
  • Self-motivation, enthusiasm and willingness to learn and collaborate with others
  • Strong interpersonal skills including experience building and maintaining relationships with a diverse network of individuals and organizations

Preferred Qualifications
  • Extensive Event planning and scheduling experience
