Position Summary

The Staff Assistant II in the Cancer Center will provide a wide range of administrative functions. The incumbent must be detail oriented, possess excellent organizational skills and have the ability to multi-task. The incumbent presents a professional appearance and exercises sound judgement and communication skills when working with staff, faculty, physicians, senior leadership and outside vendors and guests.

Duties of a Staff Assistant II – Cancer Center may include the following but are not limited to:

  • Provides full range of administrative assistance including but not limited to taking and recording meeting minutes, answering phones, copying, scanning, typing and Outlook calendar maintenance.
  • Prepares and tracks requisitions and submissions for vendor payments, guest/staff reimbursements and travel vouchers. Keeps, updates and maintains records and spreadsheets.
  • Orders supplies, utilizing all Stony Brook internal systems including Wolfmart, Lawson, etc.
  • Prepares itineraries, flyers and tours to Cancer Center guests.
  • Other duties as assigned.
  • Qualifications

    Required Qualifications: Associate’s degree and 2 years administrative/supervisory experience. In lieu of Associate's degree, High School diploma and 4 years administrative/supervisory experience. Proficient in all Microsoft Office applications including Word, Excel and Outlook.


    Preferred Qualifications: Administrative experience working for executive leadership in an academic, clinical or research environment. Experience with financial functions including accounts payable, ordering and reimbursements. Demonstrated experience in handling administrative functions with independence and accountability.

    Special Notes: Stony Brook Medicine is a smoke free environment. Smoking is strictly prohibited anywhere on campus, including parking lots and outdoor areas on the premises.

    All Hospital positions are subject to changes in pass days and shifts as necessary. This position may require the wearing of respiratory protection, which may prohibit the wearing of facial hair.

    The selected candidate must successfully clear a background investigation. Prior to start date, the selected candidate must meet the following requirements: Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services (The hiring department will be responsible for any fee incurred for examination), submit (3) written references, and provide a copy of any required New York State license(s)/certificate(s). Please be advised that failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
