Additional Information Purpose To assist multiple Provost Initiatives gift officers through the daily management of strategic and administrative activities of that team. Essential Functions Work in a team-oriented atmosphere designed to create a productive work environment. Provide support that allows for efficient and effective use of gift officers. Assist in coordination of activities for gift officers. Schedule appointments and meetings, coordinate resources and provide appropriate reference and back-up material for all meetings. Arrange meetings, contact proposed attendees, prepare handouts, and all other necessary logistical details. Prepare reimbursements for gift officers, including travel, entertainment, and other miscellaneous reimbursements. Compose and prepare correspondence, reports, meeting agendas, and notes, assist with contact reports, thank you letters, and follow-up materials as requested. Maintain copies of documents for office files. Coordinate travel arrangements for supported gift officers. Develop itineraries, handle arrangements with cars, coordinate hotel arrangements, and other necessary arrangements. Maintain current information in VIP system for donors. Assist other team members. Other duties as assigned. Marginal/Incidental functions Other related functions as assigned. Required qualifications Bachelor's degree. A combination of one year of experience assisting with fundraising programs or performing complex administrative functions. Experience maintaining calendars and schedules for multiple administrators, composing and/or editing correspondence, creating spreadsheets and/or working with databases, and working with confidential information. High degree of proficiency in computer applications, including Microsoft Office. Demonstrated excellent organizational skills with attention to detail. Excellent verbal, written, and interpersonal communication skills. Ability to interface effectively with a wide variety of personnel. Experience working in a diverse environment, maintaining customer focus, and implementing continuous quality improvements. Must be able to work well under pressure and with deadlines, independently, and without day-to-day supervision. Demonstrated ability to work effectively in a team-oriented environment. Equivalent combination of relevant education and experience may be substituted as appropriate. Preferred Qualifications More than five years of administrative assistance experience. Proofreading and data review experience. Experience with VIP database and DEFINE. Working knowledge of UT Austin's policies and procedures. Experience with Adobe Suite. Working conditions May work around standard office conditions Repetitive use of a keyboard at a workstation Use of manual dexterity

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
