Additional Information Purpose Provide exceptional customer service by greeting, directing, instructing, and assisting patients to assure efficient patient flow while maintaining HIPAA rules and regulations for the Imaging suite at UT Health Austin.

Essential Functions Registers patients in compliance with established policies and requirements in a manner that communicates to the patient that their well being is our priority. Completes prior authorizations as necessary for patients' imaging services. Accurately documents all information in the electronic medical record. Records information on images leaving and returning to the department in the electronic health record in the chart tracking system. Assures that the Imaging suite is running smoothly and that patient flow is at the optimum. Communicates effectively to create an environment where responsiveness to employee, patients and visitors needs is a personal priority. Performs all imaging administrative duties, including checking in patients, ensuring completion of all necessary forms for registration and assisting patients when needed, etc. Creates new and follow up appointments as needed for patients. Adheres to federal and local confidentiality laws, including HIPAA, ensuring patient privacy. Completes prior authorizations as necessary for patients' imaging services. Preps chart for techs as needed. Obtains medical record requests and makes phone calls to request medical records from outside providers. Monitors the flow of patients, including placing patients into rooms as needed. Ensures an adequate stock of front office supplies and proper functioning of equipment. Answers telephone utilizing quality customer service skills. Ensures patient waiting area and restrooms are clean and reflect a positive image. Participates in education programs and attends meetings as required. Participates in the orientation and/or training of newly hired personnel. Keeps track of incoming faxes and scans documents into EMR accordingly. Ensures demographic information is complete and accurate.

Required qualifications High school graduation or GED, and seven years of experience as a Medical Secretary/Receptionist or previous training in Office Administration in a clinical or healthcare setting; or Bachelor's degree and 3 years of experience as a Medical Secretary/Receptionist. General receptionist/clerical skills and knowledge of medical terminology. Ability to multi-task and operate under high-pressure situations. Requires excellent verbal, listening and interpersonal skills. Must be able to deal with the public in a professional and courteous manner. Proficiency in Microsoft Word and Excel. Ability to type at least 35 wpm. Must, be highly disciplined, self-motivated, and able to prioritize effectively. Must have a high degree of concentration, organization, and accuracy. Must maintain own performance at a high level of proficiency with minimal supervision. The Dell Medical School is especially interested in qualified candidates who can contribute to diversity and excellence within the learning health system. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications More than required experience and related experience in a clinical or healthcare setting. Previous experience with an EMR; Athena highly desired. Prior experience as a Medical Secretary/Receptionist in a Medical Imaging setting. Bilingual in English and Spanish.

A criminal history background check will be required for finalist(s) under consideration for this position.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
