Reporting to the Associate Director, Finance and Administration, the Administrative Services Manager will be responsible for management of HR records, accurate review and oversight of monthly payroll and new appointments in SAP, and will review and process offer letters and contracts for instructional and administrative staff at global sites. The Administrative Services Manager will manage all information systems for global programs, will serve as the Department’s Data Security Administrator, and will coordinate and plan on-boarding and off-boarding processes as well as new professional development opportunities in collaboration with the Associate Director. The Administrative Services Manager will also manage facilities for GP, and will work with GP leadership on other special projects.

Manage human resources data and records, liaising with global site staff to review and process hiring contracts and offer letters for several hundred instructional and administrative staff at global sites. Make recommendations and implement, when appropriate, procedures to improve the flow of staffing information from global sites to Boston Global Programs including management of annual calendar and communications to appoint and renew staff. Monitor and maintain compliance with country specific employment and immigration laws and regulations for foreign registered entities. Partner with Global Support Leadership to maintain employment compliance including annual reporting requirements. Work with Global Programs leadership on issuing offer letters to temporary employees and coordinate annual performance evaluation process. Make recommendations on how best to align student employee budgets across Global Programs’ units. Send out timely notices of any changes to HR policies, procedures, and deadlines. Work with Global Support to confirm and/or identify available funding for new staff at global sites.

Review and track monitoring system to ensure that all employees on payroll are active, terminating as assignments end. This includes, but is not limited to, ensuring accuracy for this population’s monthly payroll and ensuring accurate management of personnel records in SAP, with support from the Administrative Coordinator. Take lead for Global Programs on maintaining HR records in OnBase system. Act as the Departmental Security Administrator (DSA), ensuring all Global Programs in Boston and at global sites staff have proper permits and access to appropriate BU administrative systems. Track data and provide timely reports on human resources metrics, maintain org charts.

In collaboration with Global Programs leadership, oversee maintenance and layout of the Global Programs office space, including all renovations and facilities maintenance.

Partner with the Associate Director to review, plan, and implement onboarding process for new hires. This will include, but is not limited to, work station preparation, updating contact lists, developing welcome materials, scheduling introductory meetings with Global Programs staff, ordering computers, and coordinating with the communications team on formal announcements. Additionally, the Administrative Services Manager will work with the Associate Director to ensure smooth and efficient off-boarding processes are in place, ensuring proper security of University property and systems access.

Partner with Global Support leadership on special projects and initiatives related to human resources and administration including professional development initiatives, best-practices in onboarding new staff, and other projects as they arise

  • Strong cross-cultural interpersonal and communication skill and the ability to work effectively with all levels of staff
  • Proven track record of to seek solutions and problem solve across global sites, BU schools and departments
