Director of Advancement Operations
The Director of Advancement Operations will serve as a member of the Institutional Advancement senior management team and is responsible for leading the administrative and financial operations, database use and management, data integrity, software use and management, report generation, and all related policies for the Department of Institutional Advancement. This position oversees a staff of four full-time employees. The Director leads the strategic design, development and implementation of support functions that provide a foundation for Institutional Advancement to achieve its goals in fundraising and engagement. The Director is charged with ensuring the alignment of Advancement support and administrative infrastructure with the strategies, tactics, and resources of the department.
- Provide leadership and strategic oversight of the Advancement Operations program, working collaboratively with the Vice President and the senior leadership team in planning and achieving the Institutional Advancement goals.
- Define and implement services, processes, tools and policies for Advancement Operations and ensure appropriateness, relevance and integration across Advancement Operations, in support of development, alumni relations, prospect management and research, donor relations, communications, marketing, and creative services.
- Provide management oversight and support to direct reports in assigned functional areas including budget and finance, database management, reporting and gift processing analytics.
- In tandem with the Vice President, develop, secure, and administer annual budgets from the Institute.
- Lead the short and long-range fiscal planning for Institutional Advancement.
- Ensure compliance with federal and state laws, industry guidelines, and best practice such as Internal Revenue Service (IRS) regulations and Council for Advancement and Support of Education (CASE) standards for reporting and gift acceptance.
- Conduct a thorough analysis of the current database and make a documented case for an alternate system or for a system upgrade.
- Hire, train, and manage Advancement Operations staff to ensure that a qualified staff exists to meet group objectives.
- Create, maintain, document, and update administrative systems and polices to manage daily operations for Institutional Advancement.
- Oversee the creation and distribution of reports for Institutional Advancement colleagues, Board of Trustees, President's office and other internal and external constituencies as needed.
- Create and implement a robust system for timely and accurate recording and reporting of all gifts that allows for timely and efficient acknowledgement and receipts, information sharing with Institutional Advancement colleagues, and other internal and external constituents. Reconcile monthly figures with the Controller's office.
- Advise Finance and Administration in the preparation of annual audit, IRS Form 990, and other external reports as relevant to Institutional Advancement.
- Oversee phone, address, and email append operations aimed at database improvement.
- Provide oversight of online giving, online event registration, and e-communication systems.
- Train department personnel on Raiser's Edge software and relevant Institutional Advancement platforms.
- Direct system support from the Office of Information Technology; plan and direct system upgrades and maintenance.
- Advise Institutional Advancement and Institutional colleagues on best practices for utilizing the Institutional Advancement database to accomplish departmental goals.
- Oversee strategic decisions about space usage and office configurations.
- Serve as primary point of contact for Institutional Advancement for administrative processing of human resources related activities including onboarding of all new hires and transitioning of staff out of the department.
Education: Bachelor's Degree from a four-year accredited institution required.
Experience: Minimum of three to five years of experience working in a higher education Advancement Operations department with increasing responsibilities. Knowledge of the Raiser's Edge database and budget experience preferred. Experience in preparing, analyzing, and interpreting data.
Knowledge and Skills: Strong project management and organization skills required.
