About the Unit Masters Programs Support works closely with UChicago GRAD, which provides academic and professional support to complement the academic rigor and excellence that are the hallmarks of UChicago graduate education. In particular, Masters Programs Support focuses on recruitment and enrollment initiatives for UChicago's many graduate and professional school masters programs.
Reporting to the Director of Creative and Communications, the Associate Director and Project Manager is a critical team member charged with defining operational excellence for UChicago masters and professional education communications and marketing projects. The Associate Director and Project Manager will implement operational frameworks, manage relationships, and ensure the quality, timing, and efficiency of all project work. The Associate Director and Project Manager is a strategic, collaborative, and innovative professional with omnichannel project management experience.
The Associate Director and Project Manager will manage shared resources in support of integrated marketing, recruitment, and enrollment projects. This person will align priorities, opportunities, and timelines to support a range of marketing activities for graduate academic divisions and professional schools' masters programs. The Associate Director and Project Manager will understand and champion the strategic vision for UChicago graduate masters and professional education programs. The ideal candidate will demonstrate an understanding of project scalability, efficient project planning for marketing cycles, and comprehensive processes. The position is responsible for managing and optimizing workflow for various project types and will evaluate and guide project work with consideration for brand voice, quality, and creativity.
The Associate Director and Project Manager will implement and execute new methods for efficient project management and communication both internally and externally. In line with UChicago's brand voice and in collaboration with larger cross-divisional and departmental efforts, this position is responsible for developing and overseeing annual project calendars, brand standards, and annual project audits under direction of team leadership. The Associate Director and Project Manager will steward the adoption and customization of shared strategies, tactics, and related assets including playbooks, templates, and calendars.
The Associate Director and Project Manager will assist decentralized recruitment and marketing professionals on operational processes and best practices to ensure cohesive and efficient workflows. They will play an important role in the development of school-wide operational programs including admissions intake standards, uniform project management platforms, and shared resource management. This person will be a champion of the UChicago graduate brand and will grow and nurture a portfolio of partner/client relationships to deliver effective and inspiring creative assets.
- Serve as the primary creative and communications project point of contact/account executive for UChicago masters and professional education partners.
- Establish and maintain relationships with UChicago masters and professional education academic, recruitment, and marketing partners to ensure collaboration and information sharing for all marketing, creative, and communications projects.
- Independently assess project requirements and communication goals to accurately assist with scope, documentation, and communications.
- Participate in strategic planning with colleagues across UChicago departments, divisions, and programs to ensure brand compliance, consistency, and achievement of common goals. Help partners to assess project needs and budgets both strategically and tactically.
- Ensuring overall client satisfaction and project quality with each engagement with a detailed focus on scope, goals, deliverables, required resources, budget and timing.
- Grow and manage a collection of vendors. Review budgets and agreements to proactively navigate resource and capacity constraints.
- Ensure all project artifacts and documents are safely archived following project completion.
- Effectively managing project scope by ensuring any changes to scope are documented and approved with project change request forms.
- Clearly communicate and manage expectations for team members and stakeholders.
- Track and report on project milestones and provide status reports to project leadership.
- Resolve any issues and solve problems throughout project lifecycles.
- Stay abreast of best practices regarding student recruitment and marketing techniques and strategies in order to assist in meeting enrollment projections.
- Proficient in team and resource management. Comfortable trafficking workflow and adjusting tasks based on priorities.
- In-depth knowledge and understanding of project management and creative operations.
- Ability to determine, use, and apply operational methods for time and resource management including meeting cadence and communication technology such as Slack, Harvest, Jira, etc.
- Knowledgeable in project management best practices.
- Expertise and proven acumen with project management software such as Basecamp, Workfront, Asana etc. required.
- Experience with developing and managing project calendars for a range of marketing and communications projects, including but not limited to integrated marketing campaigns, websites, direct marketing, and photo and video production.
- Ability to implement and sustain effective project intake process and to estimate and define project scope, budget, and timeline.
- Experience with vendor management for a range of project archetypes including websites, print collateral, digital and traditional campaigns.
- Able to evaluate and redline budgets and related vendor contracts. Experience managing vendor invoicing and payment both directly and indirectly.
- Ability to present projects and work to both technical and non-technical audiences required.
Education, Experience or Certifications:
- Bachelor's degree in a discipline related to the area of focus and 3-5 years of experience; or an equivalent combination of training and experience required. Master's degree a plus.
- Business Development and account management proficiency.
- Strong project management and organizational skills required.
- Experience with higher education content a plus and/or recruitment experience.
- Effective interpersonal skills. Must be able to establish and maintain relationships with external and internal audiences.
- Ability to meet tight deadlines and respond appropriately to time-sensitive issues.
- Must be able to manage multiple projects and prioritize workload.
- Excellent oral and written communication skills required.
Working Conditions and Physical Requirements:
- Ability to work occasional evenings and weekends strongly preferred.
