The Administrative Manager for the Department of Endodontics is responsible for the daily academic, research and business operations of the department. Main activities include but are not limited to the following duties:

  • Having oversight of the budget and financial activity for the department, including ordering of supplies
  • Processing, submitting, reconciling and monitoring invoices and disbursement requests
  • Organizing meetings, conferences, CE courses and workshops for the 20-24 residents including scheduling research projects
  • Updating credentials of residents and faculty, including licensure and compliance related requirements

The Administrative Manager is to assist the Chair of the Department with managing and executing the applicant recruitment process for the CAGS, MSD, and DScD programs, providing follow-up and answering inquiries to applicants, liaise with International Students & Scholars Office (ISSO) related to immigration working in close cooperation with the Office of Admissions on enrollment management and licensure credentialing. The Administrative Manager provides support to course directors in the Endodontic Department and the Endodontic Research Faculty with the preparation of grant applications for submissions for federal and non-federal awards, grant financial management, grant reporting, grant related purchasing, monitoring of grant budgets via SAP reporting. The Administrative Manager assists the Department Chair in the hiring, onboarding of new Endodontic Faculty and the appointment and promotions of existing faculty working in cooperation with the Office of the Dean for final approval regarding final offer letters and appointments an promotion packages. This position is responsible for managing a part-time administrative assistant.


Requirements: Bachelors Degree is required; degree in Business, Management or equivalent preferred. Prior Supervisory experience is required. Demonstrated experience and knowledge with MS Office including creating and using Excel spreadsheets, creating Powerpoint presentations, creating and editing Word documents and proficient knowledge and use of Outlook is required. Prior budgeting experience including planning, forecasting and monitoring of the department budget including reconciliation of invoices/purchase orders/credit card and travel expenses is required. Must have no less than 5 years experience working in a similar role with similar duties Prior work experience in an academic setting is highly desired. Previous experience with SAP a plus Prior Grant Management experience preferred but not required.

Qualifications: Incumbent will have demonstrated time management and strong organizational skills; adept at multi tasking and comfortable with changing priorities. Incumbent will need to be solution driven demonstrating strong problem solving and issue resolution skills Incumbent must possess strong interpersonal relationship skills to effectively communicate both verbally and written with a variety of customers and stakeholders including GSDM executive leadership and faculty, BU leaders, current and prospective students. Must be customer service focused Incumbent must possess solid technology skills and be comfortable working in a data driven environment.
