The Department of Orthopedics has an opening for a full-time, University Staff (unclassified) Administrative Assistant III position.

Nature of Work:
The Department of Orthopedics is seeking applications for an Administrative Assistant III float position. This full-time, University Staff (non-classified) position is responsible for providing high-level administrative support to the Administrative team, including senior leadership, administrative core, and physician support staff within Orthopedics. This position will assist the team with projects and serve as backup for workload as needed, and in doing so will maintain relationships with various personnel throughout the School of Medicine and Affiliate Hospitals. This role must exercise critical judgement and considerable initiative in administrative management. Responsibilities for this position include backup calendar support, generating documents, presentations, spreadsheets, travel arrangements and reimbursements, medical legal activities, academic and clinical scheduling. This position provides cross coverage for other administrative positions as needed.

Examples of Work Performed:



General Administrative Assistance for Orthopedic Support Staff:

  • Assist with hospital credentialing.
  • Assist Medical Legal functions, as needed.
  • Coordinate Clinic and OR Visitors, as needed.
  • Compile Mail Merges for communications related to provider's clinical work (Clinic and Operating Room Communication).
  • Word processing for letter and email correspondence related to clinical functions.

Other Duties:
  • Provide cross-coverage for other support staff.
  • Assist with clinical and education administration, supporting the Senior Managers and Director of Administration and Finance as needed.
  • Assist Orthopedic Support Staff with projects as needed.
  • Perform other duties as assigned.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable

The hiring salary for this position is commemorate with skills and experience. This position is eligible for overtime.

Qualifications

Minimum Qualifications:

Three (3) years of general clerical experience, which must include one year of experience in a healthcare setting.

Substitution: College or university course work appropriate to the work assignment, may substitute on a year for year basis for the experience.

Preferred Qualifications:
  • Bachelor's degree from an accredited college or university in a business or health related field.
  • Experience coordinating travel and related purchasing and expense reimbursements in the Concur system.
  • Experience providing administrative and technical assistant to faculty and staff within a higher education and/or medical education environment.
  • Experience in managing multiple schedules.

  • Advanced skills in Microsoft Office Suite, technically adept, software savvy.
