The GSE seeks a full-time Special Programs and Administrative Coordinator to join the Dean's office administration team. This position will provide support to several faculty and administrative programs, including the Strategic Initiatives team. This position will assist with logistics regarding workshops and symposia, be a first point of contact for communication and work with faculty and directors to ensure program and administrative coordination is provided. This is a very exciting and dynamic time for the GSE as we launch our new vision and strategic direction. Many new research programs are taking flight, and faculty searches are underway for the very best in their fields. This position will play a key role in helping us provide the highest levels of administrative support, customer service and creative problem solving to our community. This position will report to the Administrative Support Manager and will also work closely with the Sr. Director of Strategic Initiatives and Facilities.

What You'll Do:
This role will provide a range of program coordination and administrative support to staff and faculty within the GSE. This position will arrange logistics, provide outreach communication, manage program budgets and finances (including reimbursement, vendor payments, etc.), and be a creative problem solver to help move projects forward. This position will also help craft presentations and communications from high-level staff and faculty.

Core duties will include (but are not limited to):
  • Act on behalf of the supervisors with regard to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budgets.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
  • Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
  • May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

Education & Experience:
High school diploma and four years of administrative experience (Bachelor's Degree preferred) or a combination of education and relevant experience.

Knowledge, Skills and Abilities:
  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates. Exceptional organizational skills and attention to detail. Demonstrated success in following through and completing projects.
  • Ability to take initiative and ownership of projects, while still being open to new and creative solutions.
  • Advanced computer skills with a working knowledge of applications such as Excel, Word, PowerPoint, Project Management Software.
  • Excellent communication skills (verbal and written) are a requirement.
  • Very strong interpersonal skills and a customer-service orientation.
