Information Services Specialist

Work Performed:
  • Design, implement and maintain a variety of complex data bases and data base systems for access by complex statistical packages to meet departmental requirements in support of administrative, and/or educational activities; modify or create data bases, editing and menu facilities and reporting and support programs. Respond to requests for information from existing data bases by producing specialized reports, files, research samples, and other data as needed.
  • Consult with departmental as well as outside users as required to provide training, general data processing assistance and technical guidance and direction; document departmental procedures concerning data processing operations.
  • Maintain annual academic system set-up, run audit queries and perform reconciliation, execute tuition reconciliation, provide departmental assistance and trouble shoot various systems used within the school of medicine, provide system updates for degree completion.
  • Assist in the collection of data for annual publications and statistical information. Research financial literacy options and design literacy work-shops, on-line tools, or publications for School of Medicine students. Provide resources to our students by sharing articles or outside resources that may be useful.
  • Maintain interface with University personnel to obtain and/or provide information to verify or support accuracy of records, to answer inquiries concerning Registrar Office records or procedures, and to ensure compliance with established SOM and University policies and procedures.
  • Receive, analyze and respond to incoming correspondence regarding student records; identify patterns and trends of problems related to registration notifying and/or referring to supervisor as appropriate.
  • Make recommendations to improve enrollment systems; perform in-house audits of operating units; analyze deficiencies and report to associate director.
  • Assist in formulating and defined short and long-term goals for each department through consultation with departmental directors and administrative staff.
  • Perform various network administration activities including but not limited to network upgrading, workstation maintenance, user account maintenance, network access and backups; maintain; serve as trouble shooter for software and hardware problems.
  • Monitor and maintain web applications; supporting the ongoing development of the Financial Aid and Registrar website and managing the development of custom web applications from initial specification to final release to users and stakeholders; responsible for providing technical advice and guidance; provide specialized user support to website content creator; produce new content and writing it in an interesting and appealing manner; sourcing images and artwork, and commissioning photographs, produce short tutorial videos for the website; liaising with clients and internal departments; maintaining the site once it is live and insuring the information is accurate.

Education

Work requires analytical skills normally acquired through two years post-secondary education in mathematics, computer science or a related field, or equivalent technical training in a computer-related field.

Experience

Work requires two years of experience to become familiar with data management techniques utilizing relational data base management systems and network administration as well as a variety of computing systems. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
