The Sr. Gift Services Representative is primarily responsible for the researching, processing and posting of University of Miami financial transactions related to University Development’s fundraising efforts into the developments data base system in an accurate and timely manner following University of Miami policies and procedures including IRS regulations, general accounting principles, C.A.S.E. standards and development gift and campaign policies. He/she is responsible for a broad range of functions dealing with managing and reconciling gifts and revenue transactions, acknowledging donor gifts, and maintaining database integrity with correct donor/prospect biographical information. The position serves as a contact with all departments and areas within the division and University regarding financial transactions in the gift system.
•Assists gift processing supervisor with recording corrections, wires, complex major gifts, journal entries, and ACH transactions.
•Liaisons with records team in the creation and editing of constituents records that may hinder the continuous processing of gifts.
•Responsible for the integrity of data maintained in the development information system, including maintaining the confidentiality of that data.
•Accurately researches and enter the daily receipt of university gifts, entering stock gifts and gift-in-kind gifts. Included in this is daily monitoring of the data entry of major gifts and pledges for accuracy. Following donor instructions and checking data entry accuracy. Verifying and researching payments against pledges. Running daily proof reports for each gift batch and completing deposit slips for daily entries. Accuracy of this data is subject to audit.
•Post and manage all gift commitments following the donor’s designation whether entered individually or via imports into the development system.
•Ability to retrieve data files from internal and external sources, manipulate data file and import transactions into the gift system. i.e.: payroll deductions, UW distributions.
•Help manage the process to capture donor documentation into document management system.
•Expert knowledge in query, be able to perform the mail function in the development system, export file and merge critical data in order to help manage the creation of accurate pledge reminders and tax receipts.
•Other duties as assigned in order to ensure the daily operations of the department are maintained.
• Associates degree or equivalent required, Bachelors preferred.
• A minimum of five years business office experience required at a senior level, with excellent analytical, accounting and math skills.
• Ability to process complex financial data with a high level of accuracy.
• Ability to analyze past results, perform variance analysis, identify procedure trends and make recommendations for process improvements and optimization.
• Excellent command of the English language, oral and written, with a proficiency in Microsoft Office applications (i.e. Microsoft Word, Excel, and Access).
• Must have initiative mixed with good, sound judgment and time management and organizational skills.
