Job description

Duties: Reporting to the Administrative and Financial Offer (AFO) for the Department of Neurology, this position, along with a second grants coordinator (GC), will be primarily responsible for providing excellent customer service to the Department's research faculty and staff while providing a large variety of tasks. Duties will begin with taking full ownership of purchasing/reimbursement needs within the department including purchasing, non-PO processing, PCard usage, the creation of subcontractor PO's, and payment of subcontractor invoices while meeting University, PSOM, and other regulatory policies. The GC will be expected to further develop their grants related skills to where they are independently initiating RIS submissions for new subcontracts, creating tracking spreadsheets for subcontractor invoices, ensuring invoices are accurate and timely, and that payments to our subcontracts are processed quickly and in accordance with OMB, University, and PSOM policies. Regular reporting of subcontractor status to Grants Managers will be required. In addition, under direction of the AFO, the GC will be expected to learn about and assume responsibility for clinical trial invoicing and accounts receivable reporting. This position will also be responsible for the creation and tracking of various grants related documents and for monitoring suspense accounts and completing journal entries.

The ideal candidate must be able to multi-task and juggle between priorities and have strong spreadsheet skills.

Qualifications: The minimum of an Associate's degree or two year college equivalent and 2-3 years of experience or an equivalent combination of education and experience required. Previous experience with subcontracts and/or clinical trials is a plus but is not required.
Strong skills in Excel and Outlook are required. Excellent interpersonal and communication skills, plus ability to multi-task and juggle between priorities is a must. Ability to work independently, with attention to details and a proactive style are required.
