Tufts University Advancement is seeking an Administrative Coordinator to manage numerous administrative activities and processes for the 185+ member division and to provide administrative support to the executive director of Advancement Services. This individual operates under minimal supervision and handles complex and confidential situations and requests.

The Administrative Coordinator serves as the primary point person for key administrative activities including collecting and entering bi-weekly payroll for University Advancement staff members and serving as a point person for any issues or questions; coordinating personal action forms for University Advancement staff and liaising with Tufts Support Services as needed; entering time-off tracking for several teams. This individual will also coordinate the necessary activities for staff onboarding including maintaining the division’s organizational chart, updating staff directory on the division’s intranet and other activities.

The Administrative Coordinator also provides administrative support to the executive director of Advancement Services. S/he will schedule appointments and arrange meetings, assists with the preparation and monitoring of department and project budgets. The Administrative Coordinator will also draft communication and disseminate information about division policies and procedures. This individual also provides logistical support and will assisting in the planning and coordinating of meetings, events, and trainings and serves as back up receptionist in the division’s main office building.


Minimum Required Experience:

  • High school diploma/GED and 5+ years of administrative experience OR a bachelor's degree and 3+ years of related experience.
  • Advanced knowledge of Microsoft Office Suite, specifically Exchange, Word, Excel, and PowerPoint.

  • Strong interpersonal, organizational and time-management skills.

  • Ability to manage numerous ongoing projects and tasks.
  • Excellent attention-to-detail and ability to work independently.
  • Ability to communicate effectively and foster positive relationships with students, fellow staff members and the campus community.

Preferred Experience:
  • Experience working within a university or complex corporate environment
  • Experience in a customer service role
