MEDICAL STUDENT COORDINATOR, School of Medicine, Neurology

Under general supervision of the Administrative Director of Neurology and in conjunction with the Clerkship Director, the Clerkship Coordinator is responsible for coordinating the day-to-day operations of the Neurology Clerkship, Elective/Sub-I Neurology Clerkships and Observerships/shadowing rotations. Assistant to the Clerkship Director, the Department of Neurology Program Coordinator ensures proper, reliable communication to students and teaching faculty, organization and monitoring of student clerkship activities, management of rotations, schedules and various databases, as well as ensuring compliance with LCME regulation.

Clerkship - 3rd Year Medical Students

  • Provides supervision of MS throughout their training experience
  • Creates and manages the students’ schedule
  • Acts as a liaison between residents, fellows, attendings and the medical students
  • Provides education to new residents/fellows attending regarding medical school expectations for clerkship program as they onboard to the university
  • Addresses behavioral issues that arise
  • Evaluates students performance based on evaluation scores
  • Facilitates mid-clerkship meetings; gathering up to date data from all faculty/staff/residents
  • Assists all 7 off-site partners with student management, schedules, activities, educational requirements for students
  • Collaborates with and manages attendings/residents/fellows completion of evals on time and appropriately
  • Plans, monitors, manages and reviews expenditures of program funds with clerkship director and Administrative Director
  • Participates in Clerkship Coordinator Committee- once a month meetings and on going projects
  • Attends CCS meetings once a month after normal work hours, as coordinator rep
  • Plans, organizes and administers neurology student orientation
  • Manages, organizes and updates blackboard site for all medical students with course information, block information, etc.
  • Schedules didactics for students working with attendings and fellows, last minute updates and preparing materials
  • Manages any and all updates to schedules, evaluations valuable for rotators and teaching faculty/staff
  • Orders and updates web-based examinations through NBME website, create/manage exam rosters; administer and proctor exams
  • Manages/updates EVALUE site- creating and updating rosters, submitting and releasing evaluations, updating blocks schedules
  • Adds and drops students on all databases
  • Handles personal and confidential information in professional and appropriate manner
  • Manages Clerkship Directors calendar for clerkship and education events and meetings
  • Reports to Clerkship Director regarding medical student performance and clinical competency throughout block
  • Is a resource and provide cross coverage for clerkship coordinator teams and trains new coordinator
  • Special projects as assigned
  • Follows and ensures compliance of LCME guidelines with new protocol; auditing and processes
  • Works to complete grades in a timely manner
  • Reviews data consistently and implement changes for improvements
  • Distributes instructional feedback and data regarding teaching to all educators

Electives - 4th Year Medical Students

  • Creates new electives with syllabi, staff, schedules and gotten approved by review board
  • Manages 9 neurology electives – up to 15 students a block
  • Creates schedules for each student working with their specialty
  • Organizes and schedules monthly “workshops” for 4th year specific didactics
  • Works with Elective Director to assure student success, participation and comprehension
  • Manages/updates EVALUE site- creating and updating rosters, submitting and releasing evaluations, updating blocks schedules
  • Adds and drops students on all databases
  • Special projects as assigned
  • Follows and ensures compliance of LCME guidelines with new protocol; auditing and processes
  • Works with Office of Medical Education to complete grades in a timely manner
  • Reviews data consistently and implement changes for improvements
  • Distributes instructional feedback and data regarding teaching to all educators
  • Organizes and manages VSAS applicants, onboard appropriately according to hospital and university guidelines; creating schedules and completing grades and communication with students home institution

DRx- 2nd Year Medical Students

  • Works with DRx Director on lecture schedules; presentation gathering; material distribution
  • Communicates with presenters and patients regarding their presentations and managing patient visits
  • Prepares materials for 200 students
  • Completes errands and related tasks for DRx matters
  • Proctors exam

Shadowing/Observerships

  • Manages 100+ visiting students, observerships and shadowing people throughout the academic year
  • Reviews applications and matching people with appropriate supervisors
  • Registers people by completing the appropriate hospital guidelines and processes as well as university paperwork and security clearance
  • Works with attendings, other departments in the university and undergrad groups to provide educational experience with BUMC.

CORTEX

  • Faculty advisor along with Elective Director
  • Works with 4th year students committed to applying into neurology residency to perapre them for MATCH
  • Monthly meetings after work hours regarding; applications; choosing the right program; applications; interviews; rank list- etc.
  • Helps students find research projects
  • Reviews, edits and revises student CV cover letters
  • Organizes mock interviews with faculty and staff
  • Prepares materials necessary for meetings
  • Availability to meet with students organize meetings with Chair and Elective Director for students' Student Clubs
  • Administrative faculty for CORTEX (see above)
  • Administrative faculty for SIGN (Student interest Group In Neurology) & BUSMIG (Boston University Sleep medicine Interest Club)- help manage group list-servs, events, fundraisers, scheduling and budgeting with student leadership

PA Students

  • Collaborates with PA administrators to schedule PA students
  • Organizes orientations, schedules and materials for PA students
  • Communicates with PA program regarding student feedback and date from faculty/staff

Associates/vocational/technical degree and 1-3 years' experience.
