Job description

Duties: This position reports to and supports the Executive Director of Alumni Relations at the Wharton School. The Administrative Coordinator will engage in a wide range of activities including budget management, administrative support, interaction with students, faculty, and staff on campus and at events. The position also interacts with alumni, board members, and senior government and corporate executives worldwide. Support of the Executive Director includes scheduling and planning of all meetings, including frequent changes, on and off campus.

The position will also serve as administrative support for the Wharton Global Forums, held 2-3 times annually in international cities. The Coordinator will be responsible for speaker and sponsor management, website maintenance, budget tracking, and registration coordination. The Coordinator will also serve as the point of contact for any questions pertaining to the event from both internal and external constituents.

This position involves considerable budgetary management over a variety of programs involving multiple accounts, multiple travelers, and multiple currencies. The dollar volume of the different programs is approximately $3 million annually.

Work collaboratively as a member of the Alumni Relations team and the larger Coordinator team across External Affairs, and assist with office-wide needs, including front desk coverage for office, address help desk inquiries among general alumni population, and staffing Wharton events on occasional nights and weekends as needed.

Qualifications: A High School Diploma or GED and 5 years to 7 years of experience or equivalent combination of education and experience is required. Bachelor's degree is preferred. Familiarity with or willingness to learn a development database is required. A demonstrated strong work ethic, ability to balance multiple tasks, excellent written and oral communication skills, good judgement and high attention to detail are required. Candidate must possess excellent decision making skills, proven ability to work independently under both direct and limited supervision. Excellent communication, organizational, and interpersonal skills are essential. Excellent judgement is required. Detail-oriented and thorough in the preparation of written documents and demonstrated ability to meet project deadlines. Must be comfortable juggling multiple duties simultaneously, and possess strong PC skills using Microsoft Office suite.
