The Course Reserves Lead has overall responsibility for the day-to-day operations of Course Reserves. Primary duties include the processing of incoming and outgoing reserves requests, maintain physical organization of reserves collections, promoting Leganto and the Course Reserves service, growing of the textbook accessibility program, the processing of electronic reserves (e-reserves) in accordance with copyright law, the management of related accounts in Leganto and Blackboard, and the maintenance of all related files and statistics. Additional duties include assisting with the operations of the Access Desk in support of the Learning Commons including directing patrons to the appropriate service provider and Library Operations. Duties include performing general circulation tasks (checking materials in and out, creating library accounts, etc.) include answering ready-reference and directional questions, and helping to direct student workers. Additional responsibilities include assisting the Manager in maintaining a scholarly atmosphere within the library building. This position will also work closely with ILL and is cross-trained as backup for Lending and Borrowing requests processing.

This regular, full-time position may be required to work during any of the library operations hours which are Monday through Thursday 7:30 am to 2:00 am, Friday 7:30 am to 10:00 pm, Saturday 9:00 am to 10:00 pm, Sunday 9:00 am to 2:00 am and 24/7 during End of Semester Exam periods. During shortened and summer hours, schedule varies. This position is slated to work Sunday through Thursday 8:30 am to 4:30 pm but subject to change as needed by the department.

ESSENTIAL DUTIES & RESPONSIBILITIES

Reserves Processing and Electronic Reserves Services

  • Maintain positive customer relations with faculty, students and staff, vendors, and publishers.
  • Serve as the primary contact for faculty and resolve situations related to course reserves
  • Interview, evaluate, train, and supervise student assistants
  • Oversee the day to day operations of all aspects related to Reserves and e-reserves.
  • Manage all aspects of accounts (course reserves) including keeping course materials updated each semester and returning material to professors for courses not offered the current term.
  • Keep statistics for course reserves and e-reserves.
  • Digitize materials going on e-reserves adhering to copyright laws.
  • File for copyright compliance for reserves. Maintain records and coordinate payments.
  • Assist in creating policies and procedures for course reserves (including e-reserves) and update regularly.
  • Maintain Course Reserve manuals.
  • Inform University faculty of any procedural changes, copyright, policies, and services that we provide
  • Prepare routine orders from Acquisitions of items requested for reserves.
  • Maintain and update all the web pages related to course reserves on a regular basis.
  • Answer questions regarding Reserve procedures, policies, records and transactions.
  • Create course lists and item records.
  • Create Reading lists in ALMA, and Leganto.

Access Desk Responsibilities

  • Provide excellent customer service at all times.
  • Supervision of the access desk, central service zone ensuring completion of daily workflow.
  • Check out, check in, and renew library, ILL and Reserve materials.
  • Make appropriate referrals to Learning Commons academic service partners and library departments as needed.
  • Provide ready-reference and library equipment assistance (e.g. printers, microfilm readers, etc.).
  • Monitor the library building and reports facilities complaints to Facilities Manager or other appropriate departments. Reports security problems to Public Safety.
  • Answer questions regarding patron accounts and library procedures (i.e. reserves, study room reservations, Interlibrary loan etc.)
  • Responsible for opening and closing of the library.
  • Perform basic printer troubleshooting, and report malfunctions to the Systems Support Desk.
  • Welcome guests, issue and update library patron permits/passes and Temporary CaneIDs.
  • Ensure library entrance, access desk and public areas are neat and equipped with the necessary supplies.
  • Resolve patron situations and issues

Level of Contacts

  • Within the library, this person will have regular business contact with equipment technicians, works with all levels of library faculty and staff as well as student employees. This person will also have contact with patrons of the library as well as alumni and community users. Outside the library, this person will have contact with faculty and staff from other institutions when answering questions for Interlibrary Loan. In all contacts, the incumbent is expected to be professional and courteous.

QUALIFICATIONS (Education, Experience, Skills, Training, etc)

  • High School graduate or equivalent
  • Typing skills of 30 WPM.
  • Excellent organizational skills.
  • Excellent Customer Service and interpersonal skills
  • Must be able to lift 30 pounds and push 50+ pounds.
  • Strong written and oral communication skills.
  • Two years of office or related experience preferred.

Preferred

  • Fluency with Ex Libris Alma or similar library system preferred.
  • Experience with Microsoft Office software including Word, Excel, and Outlook
  • Understanding of Internet navigation/research required.
