Administrative Assistant

Job description

Provides professional level coordination of the business affairs of a mid-sized to large department, college or unit. Responsible for coordinating, reviewing and assuring that all business transactions follow established fiscal procedures of the University; process purchasing card transactions; serve as liaison to Business Services and other administrative units; prepares department budget/budget amendment requests; review and approve travel reports; assists with the development of new business policies and procedures.

Funding for this position is based on revenue generated funds and therefore continued employment is based on availability of these funds

  1. Support the mission and vision of iTeach
  2. Support the iTeach Director with administrative tasks and scheduling
  3. Review and Approve all travel and mileage requests via Concur for the 60 person iTeach team
  4. Ensure timely purchasing which adheres to all University policy
  5. Maintain appropriate files and records for inventory, purchasing and staff
  6. Communicate frequently with iTeach staff to keep them informed and in compliance with any KSU requirements
  7. Collaborate with other Administrative and Business professionals within the unit and department on invoicing, billing, and contracting needs of iTeach.
  8. Other duties and responsibilities as requested by the Director of iTeach

  • Manage multiple tasks or projects at one time
  • Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, technology, organization, communication (verbal and written), time management, project management and presentation skills
  • Proficient with computer applications and programs associated with the position (i.e. Microsoft Office suite)
  • Strong Attention to detail and strong organizational and follow up skills
  • Strong customer service skills and phone etiquette

  • Bachelor's degree from an accredited institution of higher education in business accounting, or related field
  • Experience with University System of Georgia policies and systems (ePro, Concur, OwlPay, etc.)
  • Exhibits excellent time-managment and prioritization skills
  • Proficient with Office 365/Microsoft and Google Apps
  • Comfortable with a variety of online communication platforms
