Job Description Summary
Montgomery College, Office of Workforce Development & Continuing Education (WDCE) in Boyds MD, has need for a full-time Office Associate, position #S00169. This is a temporary with benefits, bargaining, non-exempt position. For non-exempt positions, employees are not eligible to work a secondary job at the College. The normal work schedule is Monday through Friday, 8:30 am - 5:00 pm.

Job Summary: The Under the general supervision of a higher level administrative professional, office manager, or department supervisor, positions within this job class assist faculty and staff by performing first-line administrative tasks that support the main functions of a unit or department. Responsibilities may include but are not limited to:
providing office support and customer service assistance, processing paperwork, office reception, and training/overseeing student assistants. Position interacts with both College and external entities to relay or obtain information or pass on instructions and informs other parties of matters requiring their attention. Contacts are primarily with the supervisor to receive assignments and with staff and the public for the purpose of exchanging information and responding to questions according to established policy and practice.

Job Description

Duties and responsibilities include but are not limited to:

  • Receives visitors and directs them to appropriate staff or offices; schedules/updates appointments or meetings.
  • Responds to telephone and in-person queries from staff, students, and the general public regarding College/departmental policies, processes, programs, and services.
  • Resolves routine customer service issues.
  • Types documents such as letters, memoranda, syllabi, tests, course materials, and forms.
  • Proofs, edits, and disseminates materials for faculty and staff.
  • Reviews forms and documents submitted to department, verifies information, performs necessary calculation or coding, and enters data into computerized record systems.
  • Updates/maintains manual and automated unit files and records and ensures confidentiality of files and records by controlling access to and release of information.
  • Gathers, receives, and compiles data from several sources to prepare informational or statistical reports according to established procedures.
  • Fills-in for administrative professional in their absence.
  • Trains/directs student aide.
  • Performs other duties as assigned.


Required Qualifications:
  • High school diploma or G.E.D. Some coursework in word processing and office practices.
  • Clerical and/or secretarial experience including: working in a fast-paced office setting; formatting/creating word processing documents and reports; and resolving customer service issues.
  • Knowledge of proper business English, grammar, and spelling; standard office procedures and equipment; College/departmental policies and procedures; and standard office applications used at the College, and College/unit specific software applications such as Banner.
  • Skill in proofreading, verifying data and producing typed materials, and
  • communicating effectively in a diverse/multi-cultural environment.
  • Ability to understand and apply College policies and procedures, unit guidelines and processes; maintain confidentiality where appropriate; work effectively in a fast paced environment with frequent interruptions; deliver quality customer service under hectic or stressful conditions; prioritize tasks; and work independently or as part of a team.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
