DegreeWorks Curriculum Specialist

Job description

Responsible for managing and ensuring the quality and integrity of DegreeWorks Scribe, audits, system configurations, and related reporting. Processes data retrieval and reporting tools such as SQL, Base SAS and/or SAS Enterprise Guide (EG), Microsoft Office, Adobe products, and other software for identification of potential issues and presentation of reports. Supports the Office of the Registrar in the curriculum proposal process. Additional administrative duties include complex data compilation, data evaluation and entry. Creates and manages spreadsheets, and applications and business process documents.

  • Maintains and updates DegreeWorks systems to include Scribe, SureCode, and Transit for existing program problem resolution, as well as, implements curriculum changes and new curriculum rule construction
  • Works collaboratively with the Office of the Registrar, Department Chairs, and Curriculum Committee representatives toward affirmation of DegreeWorks changes
  • Supports and maintains all DegreeWorks system-level settings and ensures the DegreeWorks requirements aligns with the University’s Academic Catalog program requirements
  • Reviews all curriculum proposals to identify potential issues in USG or University academic policy, student academic progression, and DegreeWorks requirements
  • Ensures curriculum proposals and review processes are documented and shared with the Office of the Registrar to support the University Curriculum Committee
  • Manages and maintains curriculum rules for each catalog year and ensures validity of assigned student curriculum
  • Acts as the liaison with the Office of Student Financial Aid regarding course program of study
  • Develops all DegreeWorks training documentation to include student, advisor, staff, and administrator user guides and conducts regular DegreeWorks training sessions for advisors and Office of the Registrar staff
  • Provides guidance for all DegreeWorks-related questions and concerns.
  • Uses SQL or SAS to access, retrieve, and provide reporting on database level information from DegreeWorks to include assessments of potential issues in system settings, degree requirements, course application to requirements, student progression, and validation of the “Course Program of Study” data
  • Develops and maintains all validation and testing plans, unit tests, and documentation of DegreeWorks activities
  • Leads all DegreeWorks testing, validation activities including documenting and approvals for DegreeWorks Scribing changes, system setting changes, and upgrades
  • Acts as the liaison with UITS regarding all DegreeWorks upgrades and testing and works with technical staff, Office of the Registrar, and/or academic departments to complete testing and validation
  • Works with the Associate Registrar for Graduation and Transfer Evaluation Services to provide necessary graduation activity reports including the Jostens Diploma File, Commencement Program List, Attendance List, Graduation Ticketing, and Line-up Cards
  • Works with the Director of Data Management, Strategic Analysis, and System Support to provide graduation attendance by semester estimates and propose a graduate schedule to balance ceremony attendance

  • Three (3) years of experience in DegreeWorks scribing, system maintenance, technical problem resolution, data retrieval and analysis from a relation database or in coding systems
  • Strong listening, verbal, and written communication skills. Ability to manage multiple activities in a deadline-oriented environment; highly organized and rigorous attention to detail. Ability to maintain strict confidentiality with sensitive data.
  • Ability to multi-task; strong attention to detail, organizational, and follow up skills
  • Successful track record in planning, coordinating, and completing large scale, detail-oriented projects and events
  • Analytical thinking and creative skills
  • Experience with empowerment of students and creative educational programming
  • Ability to work in partnership with, staff, faculty, administrators and student leaders
  • Ability to perform certain duties and attend required meetings in lieu of the Associate Director or Director
  • Excellent interpersonal, teamwork, leadership, presentation, and problem-solving skills, displaying initiative and independent judgement
  • Excellent customer service and professional verbal and written communication skills
  • Proficient with computer applications and programs associated with the position (i.e. Microsoft Office suite, BANNER, NolijWeb, DegreeWorks, CRM, SAS reporting)
  • High level of empathy and ability to deal with difficult and confidential situations
  • Working knowledge of and abide by the regulations of the Family Education Rights and Privacy Act (FERPA)
  • Executes operational excellence, deliver second-mile service, and activate emotional connections with our students, prospective students, and other constituents
  • Attends DegreeWorks training as offered by the USG or other third-party entities

  • Previous experience in higher education curriculum process
  • Experience in the Banner Student Information System to include database level knowledge
  • Experience in database level access to DegreeWorks data
  • Experience with SQL or SAS Business Intelligence System
  • High proficiency level with Microsoft Excel
