The College and Graduate School of Arts and Sciences seeks highly qualified applicants for an Administrative Assistant to support the ongoing operations within the History Department. The incumbent will perform a variety of duties requiring an understanding of organization operations, procedures, and personnel. The Administrative Assistant will provide undergraduate and graduate program support with occasional guidance and advice from the Director concerning the twice yearly course description booklet, class schedules, credit transfers, study abroad, input student funding in SAFM, providing dashboard/funding guidance and support to student, and all yearly graduation details. The Administrative Assistant will be responsible for tracking departmental travel funds for faculty, monitor and reconcile faculty accounts, reporting, and processing reimbursements. Incumbent handles major and minor advising periods ensuring that complete and accurate information is available to faculty and students.
A High School Diploma with at least one year in an administrative support position is required. Post-secondary degree may substitute for experience. Applicants must possess a strong interpersonal skill set as well as written and oral communication skills. Excellent organizational skills and the ability to manage multiple projects simultaneously are imperative. Preference will be given to candidates with experience working with students or in a university setting, as is experience working with Oracle Purchasing, specifically payment vouchers. Knowledge of the Oracle Purchasing Module, Image Now, Chrome River, managing P-Cards, Student Information Systems (SIS), or other budgeting or finance programs are highly desirable.
