Position Summary: The primary responsibilities of this position are to provide accurate information to students, parents, visitors, and other University personnel; maintain student records; and provide administrative assistance to the Graduation Coordinator. This position will primarily provide customer support for students preparing to graduate, policy communication, and updates and guidance as needed. This position will also be responsible for the daily compilation, assimilation, and organization of both printed and electronic information. The Administrative Support Specialist will coordinate varied records, processing activities requiring the application and interpretation of the College of Arts and Sciences policy and procedure. This position will review information for completeness and accuracy using multiple guidelines. This position will be in contact with campus partners such as the Registrar and professional schools to ensure that student records are accurately updated in a timely fashion. This position will keep all forms updated, organized, and easily accessible to others. This position will complete all data entry in an accurate and timely manner. This position will be familiar with deadlines, guidelines, and policies. This position will be responsible for processing appeals and documentation for multiple semesters. This position will serve as primary administrative support to the Graduation Coordinator. The Administrative Support Specialist will be responsible for filing student academic records and processing forms appropriately. This position must demonstrate an ability to understand policies and procedures related to the Academic Advising Department and the College of Arts and Sciences and be able to communicate and interpret this information to students and parents. This position will require the ability to problem solve and triage customers as needed so that they can be directed to the appropriate individuals for assistance and support. This position will provide assistance by creating reports, as requested, by the Graduation Coordinator. This position may include other administrative support duties as required and assigned. The Administrative Support Specialist will be responsible for assisting with coverage for divisional reception areas when requested by supervisor. This position will require the answering of phones when necessary and careful listening to fully understand the individuals concerns or questions. When providing assistance, this position will need to have the ability to be patient and reassuring, to take time to provide explanations appropriately. A knowledge of campus partners is also vital, often stepping in to assist a student to find the help that they require within another department or division. The Administrative Support Specialist may include, but not limited to, back-up for other administrative staff or training for other administrative staff. This position may have to put in IT work orders and facility help tickets, provide on-boarding training for new staff members, and similar administrative duties.

Education Requirements:

Qualification and Experience: High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
