ADMIN COORDINATOR

Job description

Duties: This position will provide administrative support to 5 faculty members in the Department of Medical Ethics and Health Policy. The duties include coordinating duties such as scheduling for the individual faculty member, organizing meetings, answering phones, processing travel and reimbursements, and other activities to administratively support the PIs. This position will help organize meetings and those duties will include ordering food, securing space, obtain materials for meetings, setting up meeting space, tracking attendance, communicating with attendees, preparing materials, facilitating travel arrangements, processing travel reimbursements, and taking meeting minutes. This position will assist with biweekly seminars by coordinating travel, itinerary and reimbursements for outside speakers. This position will also assist with manuscript submissions and maintain the faculty members CV and other support materials.

Qualifications: A High School Diploma and 5 to 7 years of experience in the healthcare field or an equivalent combination of education and experience required. College coursework or degree preferred. Experience as an executive assistant a plus. Excellent organizational, verbal and written skills required. Previous event planning experience is preferred, but not required.
