Business and Operations Specialist - University College

Job description

Reporting to the Assistant Dean for Business and Operations for University College, the Business and Operations Specialist provides divisional-level financial, human resources, and business practices support. The Business and Operations Specialist is responsible for working with the Assistant Dean to manage the day-to-day financial, operational, and human resource processes for University College. This position is a front-line resource providing support of divisional financial priorities and policies for University College staff, faculty, and stakeholders. The Business and Operations Specialist is responsible for creating high-quality professional reports and documents and assisting with special projects to support the Assistant Dean. The ideal candidate will have proven business acumen and the ability to oversee financial and operational projects form inception to completion.

Financial

  • Responsible for processing and keeping accurate records of all divisional direct pays, purchase order requisitions, and contracts
  • Support the Assistant Dean in preparing journal entry transactions
  • Serve as the purchasing card coordinator for 25+ cardholders at University College, by reviewing and approving transaction logs, providing guidance, and ensuring all purchases adhere to University and University College expense practices
  • Understand and ensure division compliance with all University purchasing policies, including but not limited to competitive bid guidelines, allowable business expenses, and purchasing methods
  • Prepare revenue and gift deposits in a timely and accurate manner, ensuring the safeguarding of University assets
  • Provide information on accounts payable procedures and status of payments to employees and vendors
  • Independently review budget reports and detail activity to ensure accuracy

Human Resources and Payroll

  • Responsible for processing staff and faculty job postings and managing compliance with the hiring process
  • Support search committees with the logistics of the hiring process
  • Responsible for the internal hiring processes for new employees
  • Responsible for assigned aspects of payroll functions for assigned areas of the division
  • Monitor payroll activity for accuracy while keeping sensitive information confidential
  • Assist supervisors with the onboarding of new employees to University College

Administration and Special Projects

  • Provide monthly reporting and updates to appropriate personnel with budgetary management responsibility
  • Analyze moderately complex business operations and financial statements to provide support to Assistant Dean
  • Research and prepare ad hoc reports as requested
  • Assist in special projects as requested

Required

  • Bachelor's degree or an equivalent combination of training and experience
  • 2-3 years of experience in business administration or financial management

Preferred

  • Bachelor's degree in business related field
  • 5 years of experience in business administration or financial management
  • Experience in higher education
  • Knowledge of Banner
