Academic Records and Graduation Coordinator

The University of Illinois at Urbana-Champaign has an opening for an Academic Records and Graduation Coordinator in the Office of the Registrar. The Academic Records and Graduation Coordinator supervises graduation certification and processing for all student levels (undergraduate, graduate, and professional), coordinates Bronze Tablet/University Honors, and manages processes and procedures supporting grade collection and end of term. This position also provides leadership and supervision to Academic Records and Graduation staff. Works closely with staff in the College and departmental offices as well as Academic Services staff in the Division of Intercollegiate Athletics.

Duties and Responsibilities:

  • Coordinates activities in Records Maintenance, including grade collection and end of term processes and procedures
  • Supervise the graduation process for all student levels (undergraduate, graduate, and professional); verify degree requirements have been completed
  • Provide training to College staff on the degree certification process and Banner; update training materials and job aids as required
  • Coordinate Bronze Tablet/University Honors awarding and notification process for undergraduate students, including the ordering and delivery to the Library of the Bronze Tablet
  • Supervise the diploma process, including corresponding with the vender, managing semester and weekly orders, entering late additions to the degree list, and overseeing billing
  • Create, schedule, and review data reports related to graduation, grade entry, and student athlete academic progress
  • Order honorary diplomas as requested by the Board of Trustees
  • Audit student athlete eligibility and submit Certified Eligibility Lists and Transfer Eligibility Statements to the Assistant Registrar and/or Registrar for final approval
  • Perform the initial collection of data, review for accuracy, and make necessary updates to student athlete data or report data used by the Assistant Registrar and the Compliance Office in the Division of Intercollegiate Athletics for the annual campus report to the NCAA, federal Student Right to Know, and Graduation Rate Survey reporting
  • Attend annual NCAA compliance meeting and Big 10 Athletic Spring Meeting as required
  • Assist with end of term processes, including grade entry, entering incomplete grades, and processing grade replacement requests; some seasonal evening and weekend work is required
  • Supervise Academic Records and Graduation staff


Position Requirements and Qualifications:

Required Education: Bachelor's degree from a regionally accredited institution

Required Experience:
  • Demonstrated experience with data collection
  • Strong written and oral communication skills
  • Experience communicating with diverse populations


Preferred Experience Qualifications:
  • Experience with Banner or other student information system
  • Familiarity with NCAA eligibility regulations
  • Experience supervising full-time professional staff
  • Demonstrated success with improving business processes
