(Job #18-55) Confidential Office Support I, Faculty Recruitment Coordinator, $2,288-4,169/month. This is a full-time, benefitted, 12-month, non-exempt position with a one-year probationary period in the Department of Academic Personnel Services with an excellent benefits package that includes enhanced life insurance and vacation accrual. Anticipated start date is November 2018.

Position Summary: Under general supervision of the Associate Vice President for Faculty Affairs, the Faculty Recruitment Coordinator serves as the Academic Personnel Services (APS) lead for coordination of tenure-line, temporary faculty, temporary faculty pool, and academic dean and associate dean recruitments. This position also serves as lead support for implementation and enforcement of the Unit 11 Collective Bargaining Agreement for Academic Student Employees.

Duties:
Faculty Recruitment Coordination
  • Oversee and facilitate the faculty recruitment process from initial authorization for recruitment through re- turned letter of offer and appointment
  • Serve as a resource to department and college personnel regarding the recruitment and appointment process
  • Ensure all steps of the recruitment process are properly recorded, approved, and documented
  • Assist departments in the development and finalization of vacancy announcements
  • Coordinate and conduct advertising placements of vacancy announcements
  • Post vacancy announcements in the campus' online faculty recruitment tool (currently Interfolio), manage applicant information, and provide reports based on this information as required
  • Maintain APS website content with information on faculty, dean, and associate dean job vacancies and personnel procedures
  • Provide regular status reports on the progress of searches to the President, Cabinet, and AVP for Faculty Affairs.
  • Serve on implementation team for electronic recruiting software and assist in the development of electronic recruitment procedures
  • Work collaboratively with the Human Resources recruitment staff to improve processes and realize efficiencies
  • Provide support for California Faculty Association requests for information under the Higher Education Employer-Employee Relations Act (HEERA)

    Unit 11 Collective Bargaining Agreement Support
  • Serve as a resource to the campus on the recruitment, appointment, evaluation and separation processes for Unit 11 employees
  • Assist in the development and finalization of vacancy announcements and other recruitment documentation
  • Screen documents for completeness and compliance with personnel policies
  • Process personnel documents and appointments in timely manner to meet campus deadlines
  • Oversee the generation of appointment letters for Unit 11 employees
  • Respond to questions and recommend procedures for the implementation of the Unit 11 CBA
  • Maintain Unit 11 content on the APS website with information on job vacancies and personnel procedures
  • Serve as a liaison between HSU and United Auto Workers (UAW) representatives
  • Provide support for Unit 11 HEERA activities such as gathering and compiling data for collective bargaining and information requests for the union and the Chancellor's Office

    Other duties include supporting APS office processes, procedures, and special projects, scheduling and organizing required meetings, updating annual records retention documentation and ensuring campus compliance, and administrative/clerical support as required.

    Minimum Qualifications:
    Equivalent to one year of general administrative support experience with a variety of duties and responsibilities which has provided the applicant with the knowledge, skills, and abilities listed below.

  • Fundamental written and oral communication skills, including a basic foundation of English grammar, spelling, and punctuation
  • Excellent interpersonal skills including the ability to work cooperatively and effectively with staff, faculty,
    students, and the general public in person and over the telephone
  • Intermediate to advanced Microsoft Office Word and Excel skills

    Ability to:
  • Understand basic office procedures
  • Operate standard office equipment
  • Perform basic arithmetic
  • Communicate effectively both orally and in writing
  • Perform detail work with a high degree of speed and accuracy
  • Effectively organize, prioritize, and complete tasks independently in a fast-paced environment with frequent interruptions and conflicting deadlines
  • Maintain a positive demeanor and attitude during busy and stressful periods
  • Establish and maintain effective working relationships in a team-oriented environment with a diverse group of staff, faculty, and students
  • Maintain a high degree of confidentiality and exercise discretion and appropriate judgment in handling sensitive material
  • Accept direction from multiple sources
  • Understand, interpret, and apply policies and regulations in specific situations

    Preferred Qualifications:
  • Equivalent to five years of progressively responsible general administrative support experience
  • Experience in calendar scheduling
  • Knowledge of web page applications, database software, and other software such as Acrobat Pro, and LiveCycle Designer
  • Experience with faculty, academic student employee, or staff recruitments
  • Knowledge of and experience using the Oracle Business Intelligence (OBI) data warehouse and PeopleSoft Human Capital Management systems
