Degree and Transfer Services Specialist

Job description

This position is within Graduation Audit and Transfer Evaluation Services (GATES), a division of the Office of the Registrar, and is responsible for serving as the lead customer service member for GATES. This position responds to the needs of the student and other customers of the Office of the Registrar to provide assistance to those seeking information and ensure requests are resolved in a timely manner. They monitor communications (face to face, phone, and email), and research and resolve customer issues related to GATES operations.

  1. Manages communication for face to face, phone and email inquiries related to GATES operations. Responsibilities include researching and resolving issues related to course substitutions, DegreeWorks, and transfer evaluations for the currently enrolled student population; Responds promptly to customer inquiries
  2. Serves students and customers of the Office of the Registrar by explaining KSU policies and procedures to faculty, staff, students and parents
  3. Re-apply course substitutions that have been unenforced
  4. Reviews and processes forms to verify degree applicability of courses
  5. Works collaboratively with GATES team to stay updated on policies and procedures
  6. Assists with transfer evaluations during peak periods

  • Ability to perform and prioritize multiple job functions in a fast-paced working environment
  • Ability to think analytically, interpret, apply guidelines, policies, procedures and rules using consistently sound judgement
  • Excellent interpersonal skills, initiative, teamwork, problem solving, independent judgment, technology, written and verbal communication, and presentation
  • Proficient with computer applications and programs (i.e. Microsoft Office suite)
  • Strong organizational and follow up skills
  • Outstanding customer service and phone etiquette
  • Ability to facilitate and foster effective working relationships
  • High aptitude to comprehend and grasp information quickly
  • High standards of ethics, honesty, integrity and confidentiality

In lieu of degree, combination of relevant education and experience will be considered.

  • Familiarity with BANNER, DegreeWorks end-user, Nolij, or similar student information systems
  • Excellent customer service, organizational, and in-depth troubleshooting skills
  • Previous experience in higher education preferred
