Duties: This position reports to the Director of External Engagement, with a dotted line to the Business Manager for the division, and works closely with all members of the MBA Admissions and Financial Aid teams. An integral member of the team, the Financial and Office Program Coordinator manages projects affecting all staff in relation to human resources for temporary staff and all financial and administrative concerns to the MBA Admissions and Financial Aid Team. The Financial and Office Program Coordinator is responsible for the understanding and enforcement of all financial and employment policies in adherence to compliance. Maintaining knowledge of University policies and procedures, continuing education of new systems as they develop, and working to streamline processing and ensuring adherence to all University, Wharton, and government guidelines are essential to this role. The Financial and Office Program Coordinator monitors the flow of all transactions and provides strategic and functional oversight of processes related to hiring of temporary staff, handles all distributions, prepares all Concur reports, and gains clarity of complex immigration issues in relation to temporary staff hiring. The Financial and Office Program Coordinator provides high-level confidential recommendations for cost efficiencies to leadership and resolving payroll issues. The Financial and Office Program Coordinator manages one part-time employee, which includes overseeing productivity and providing guidance and performance management, and also indirectly manages two administrative coordinators. The overall appearance and functionality of the MBA Admissions and Financial Aid offices are the responsibility of the Financial and Office Program Coordinator. As such, this individual will expected to develop working relationships with various internal and external vendors.

Qualifications: A Bachelor's Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required. Experience working in a university business office environment preferred. Experience with Penn's financial systems is preferred. The successful candidate must demonstrate strong customer service skills and communicate effectively with faculty, staff and students. Must demonstrate a proactive work style with strong follow-up skills; work productively under pressure; and must perform duties with strong attention to detail. In addition, the candidate must have effective interpersonal skills to enforce guidelines and protocols with constituents (faculty, staff and students) in a diplomatic and assertive manner. This position requires the ability to switch gears depending on processing and/or project deadlines and remain flexible in order to adapt to changing priorities. Must have the ability to work independently as well as collaboratively.
