The School of Medicine Department of Emergency Medicine has an opening for a full-time University Staff (unclassified) Business Services Senior Professional position.

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Work is performed fully independently.

Nature of Work:

The University of Colorado Anschutz Medical Campus is seeking applications for a Business Senior Services Professional. This full-time, University Staff position is responsible for providing project management, recruitment, and clinical support to the Department of Emergency Medicine. This includes: managing the monthly clinical schedule for Emergency Medicine Faculty; acting as a project manager for all phases of the advance practice provider recruitment process; and overseeing the Department's New Faculty Orientation program.

Supervision Received: This position will report directly to the HR Manager.

Supervision Exercised: This position does not currently supervise other personnel.

Examples of Work Performed:

  • Provides direct administrative and operational support the Medical Director and Chief of Clinical Operations of the Department of Emergency Medicine.
  • Manages, coordinates and executes special projects related to CME credits for audits and incentives.
  • Manages the operational needs of the Department's APP (Advanced Practice Provider) Program.
  • Develops and maintains reports for department leadership regarding physician clinical hours, types of shifts worked and the equitable scheduling of holiday hours.
  • Conducts regular gap analyses in order to determine if additional reporting tools are needed for department leadership.
  • Manages all phases of the APP recruitment process, including: coordinating candidate travel, accommodations and schedule.
    • Acts as a project manager and monitors the progress of all faculty recruitments, through the initial applicant phase to the final interview.
    • Evaluates all new applications for completeness and criteria; triages applicants to the appropriate hiring authority/faculty member.
    • Manages first and final round interviews by: coordinating candidate travel, accommodations and schedules; reserving appropriate University resources (i.e. IT, personnel, rooms, etc.); and resolving any schedule conflicts and/or last minute cancelations.
    • Manages travel reimbursements.
    • Provides recruitment notifications to applicants including referral letters, not selected letters, etc.
  • Manages onboarding for all new Faculty hires in collaboration with the HR Manager, Vice Chair of Finance and Administration, and Executive Vice Chair.
  • Coordinates departmental meetings for clinical operations.
  • Records, transcribes, and distribute meeting minutes appropriately and within a timely manner.
  • Arranges corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging, and coordinating meeting accommodations.
  • Responds to both internal & external confidential inquiries related to the Department of Emergency Medicine and the Care Innovation Center.
  • Develops PowerPoint presentations and adds additional content/detail based on high level descriptions.

Salary is commensurate with skills and experience.

This position is not eligible for overtime compensation.

Qualifications


Minimum Qualifications:

Bachelor's degree in business, communications, accounting, finance, social sciences, marketing or other closely related field.

Two (2) years of executive or high-level administrative experience in an academic, health care, and/or business related environment.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific two (2) years of experience.

Preferred Qualifications:
  • Five (5) years of executive or high-level administrative experience in an academic, health care, and/or business related environment.
  • Professional and progressively responsible project management experience.
  • Experience making travel arrangements and travel reimbursements.
  • Experience working in an academic medical environment.
