Administrative Support Associate I/UKHC

Job description

The department of Surgery/Cardiothoracic seeks an Administrative Support Associate I to function as advisor and resource person to the division faculty and Advanced Practice Providers.

Will coordinate attendings (faculty) daily schedules; including general communications as primary phone support.

Assist attendings in abstract and manuscript preparation including completing bibliographies and assisting with on-line submissions. Complete literature searches and secure selected articles.

Process incoming and outgoing correspondence. Process fee requests, coordinate attendings' travel arrangements and prepare reimbursement requests.

Coordinate divisional special events including catering, facility, and audiovisual arrangements. Assist with onboarding duties.

Process requests for payments. Renew memberships for faculty and staff, as well as assist with updated license and renewals for faculty and staff. Maintain PD fund records.

Physical Requirements

Sitting for long period of time with repetitive motions consistent with computer usage.


Monday - Friday 8:00 a.m. - 5:00 p.m with one 1 hour lunch and two 15 minutes breaks. Overtime as needed to support division mission. Holiday time is given according to the Univ policy.


Microsoft Office Suite (Excel, Outlook, PowerPoint, Word); Strong Communication skills; Detail-Oriented; Organizational skills; UK systems (SAP, Procard, PEW).

Preferred Education/Experience

Associate's degree plus 3 or more years related experience.
