School of Physician Assistant Practice - College of Medicine
Maintains curriculum management for the clinical courses in Canvas, MedNet and other COM curriculum databases, in coordination with COM Registrar. Coordinates activities pertinent to course information and instruction to include course creation and instructor assignment in OMNI Student Central. Coordinates and monitors each phase and End of Rotation (EOR) reports. Maintains test bank for past and present exams and provides assistance in exam preparation, grading and proctoring. Supports new course development with research, formatting and postings. Maintains program and student data, completes special projects, research and reports.
Provides support to the Clinical Education Director and faculty for course activities and faculty and student calendars. Responsible for preparation, editing and delivery of materials for large and small groups. Develops and maintains a file system to support school activities. Maintains the Accreditation Review Commission on Education for the Physician Assistant (ARCPA) Portal, tracking faculty counts, specialty and contact information for accreditation purposes.
Provides administrative support to the School of Physician Assistant Practice with an emphasis on clinical faculty. Exercises judgement in screening and referring visitors, phone calls and inquiries. Resolves problems or routes to appropriate personnel. Routes mail and email after initial review. Composes letters and memoranda for routine matters and other correspondence requiring action by the Clinical Education Director, faculty and staff. Attends committee meetings and maintains minutes as assigned.
Processes and submits travel authorizations for Clinical Education Director and six Associate Clinical Education Directors, gathers documentation, and submits travel reimbursements. Makes all necessary travel arrangements to include hotel, flights, car rentals, etc. in accordance with Florida State University policies and procedures ensuring travel arrangements and reimbursements are processed in a timely manner. Provides direct assistance to the Clinical Education Director and faculty in support of committee memberships and boards at the University, community, state and national level.
Plans, arranges and attends school social functions, meetings, service trips and other events, managing guest lists, sending invitations, making arrangements for venue, food, materials needed, set-up and break-down. Follows up with vendors ensuring purchase orders or payment arrangements are in place, coordinates hotel and travel arrangements for student participants and final reports related to events.
Promotes an atmosphere of teamwork in accomplishing the mission and goals of the School of Physician Assistant Practice to include participating in the delivery of support services for special projects and scheduled events, meeting key school deadlines and additional assignments as needed. Runs occasional errands in support of school activities requiring the operation of a motor vehicle. Stays informed of current State of Florida and University policies and procedures.
Bachelor's degree and two years of experience. (Note: higher education can substitute for experience at the equivalent rate.)
Experience establishing and maintaining effective working relationships.
Experience communicating effectively verbally and in writing.
Experience prioritizing and performing multiple work assignments simultaneous and meeting project deadlines.
Experience performing accurately in a detail oriented environment.
Experience with applicable computer applications or software, such as Microsoft Word and Excel or comparable programs.
Experience maintaining accurate records and retrieving files from active/archive sources.
Experience performing assigned responsibilities with minimal to moderate supervision.
Valid FL or GA Driver's License, or the ability to obtain.
Experience with data analysis and Microsoft Sharepoint.
Experience with academic program planning, development, and evaluation.
Experience gathering, interpreting, reporting, and using information concerning assigned activities.
Experience documenting existing and new processes.
Experience utilizing problem solving skills.
This is an A&P (Administrative and Professional) position.
