Job description

Customer Service Representative will greet visitors and performs general administrative duties. He/She will handle incoming calls and may operate a multi-line telephone system. They may assist other administrative staff with overflow work, including word processing and data entry.

Hours may vary based on the needs of the business during peak times or for special events hosted by the college throughout the year. Typical hours for this position will be:

Monday – Thursday 7:45- 1:15 pm

Friday 7:45 – 4:30pm (45 min lunch)

  • Manages reception desk and serves as a resource for all faculty, staff and guests visiting the office and provides assistance as needed
  • Responsible for answering office phone providing information and/or transferring/redirecting calls to the appropriate contact
  • Schedule and confirm appointments and maintain event calendars
  • Check visitors in and direct or escort them to specific destinations
  • Inform other employees of visitors’ arrivals or cancellations
  • Copy, file and maintain paper or electronic documents and records
  • Make travel arrangements and schedule meetings based on itineraries
  • Assist the public with registrations by entering information into the enrollment management system, taking payments and printing receipts at the point of sale
  • Creates, edits, and merges student profile records in enrollment management system
  • Reconcile cash receipts, credit cards, and check sales at the end of shift
  • Knowledge and compliance with CCPE/KSU/BOR policies and procedures

  • Six (6) months of relevant clerical experience
  • Able to deal with multiple projects at one time
  • Proficient with computer applications and programs (i.e. Microsoft Office suite)
  • Strong attention to detail and strong organizational, planningand follow up skills
  • Strong customer service skills and phone and e-mail etiquette

The ability to read/write/speak Spanish or any other language in addition to English is preferred for this position.
