The associate will act as a professional individual contributor to provide support in a variety of moderately complex responsibilities within the Office of the Registrar. The associate will maintain many aspects of the academic record including, but not limited to, determining program eligibility for admission, certifying students for graduation, and analyzing student coursework for application to student record. In addition, the associate will maintain registration and student records in compliance with federal and state laws, university regulations and policies. The associate will have a strong attention to detail and the ability to be both a team player and independent contributor.

Essential Functions and Responsibilities

  • Demonstrate ability to research and analyze information and come to appropriate conclusions, driven by policies and procedures
  • Understand how to apply FERPA regulations to business processes
  • Thrive in a challenging, fast-paced environment with deadlines and work expectations
  • Achieve quality assurance standards for accuracy and customer service
  • Work cross-functionally with WGU faculty and staff to provide solutions to moderately complex problems and to ensure the academic success of students
  • Effectively utilize robust web-based and networked applications to maintain and analyze information critical to the daily function environment
  • Evaluate and interpret documentation and requests as they relate to WGU, U.S. Department of Education, and other policies to determine applicability to student record
  • Demonstrate professional written and verbal communication skills
  • Exercise independent judgement and discretion, particularly in matters relative to sensitive or confidential student records and organizational matters
  • Collaborate with supervisor on department process improvement
  • Counsel WGU students, faculty, and staff regarding office of the registrar policies and procedures.
  • Provide weekly updates during team meetings
  • Stay current on available resources to support the academic success of students

  • Ability to understand, research, and analyze moderately complex policies and procedures, and execute appropriate solutions

  • Customer service experience

  • Two or more years of experience working in an support services or transcript evaluation
  • Experience using a student information system (such as Banner/PeopleSoft), and document imaging system (such as OnBase/Kofax)
  • Bachelor’s degree in a business, liberal arts, or social sciences field, and be working toward Master's degree. Master's degree strongly preferred.

Special Position Requirements

  • Ability to lift items up to 50 pounds
  • Up to 5% travel is required, as well as the ability to work nights and/or weekends as needed
