Provides complex and extensive administrative and professional support to the President of Bentley University. Manages the day to day flow of business operations for the President's Reporting to the President or his/her designee, the Executive Assistant to the President provides complex and extensive administrative and professional support directly to the President of the University, in a fast paced environment for a busy Chief Executive. He/she will coordinate the President's calendar, make travel arrangements, coordinate meetings and events, prepare and submit expense reports, compose letters for the President's signature, and all other administrative duties to support the President. Independently initiates, organizes and implements systems and procedures to efficiently manage special projects, reports and presentation preparations. Manages front line access to the President. Makes decisions in conjunction with the President, or his/her designee, regarding issues which may require the President's immediate attention. Independently resolves issues that may not require the President's input. Plans, facilitates, and coordinates activities for highly visible events and/or meetings, in conjunction with other offices. May provide coordination and/or management of the President's House.

  • Serves as an ambassador for the President to all internal and external individuals.
  • Makes preliminary inquiries and assessments to help resolve problems. Uses the utmost care and discretion in problem solving or in routing a constituent/customer to other departments for appropriate resolution.
  • Works closely with other Executive Assistants to insure coverage for the President's Office during business hours and to accommodate the President's schedule.
  • Handles all matters with the utmost confidentially, diplomacy and tact.
  • Provides support in managing the budget for the President's House and the President's Office
  • Manages the President's Calendar; provides daily calendar information with full details regarding the day's events
  • Coordinates meetings and events
  • Manages travel and related itineraries
  • Prepares and submits expense reports
  • Composes letters for the President's signature and drafts e-mails for distribution as requested. Edits and proof-read documents and makes recommendations.
  • Designs and prepares reports and presentations
  • Maintains office files for security and availability
  • Interacts regularly with President's Cabinet, Trustees, academic departments, University Advancement, donors, faculty, staff, students and parents as well as a variety of external constituents. Interacts in a professional and respectful manner.
  • Screens and routes telephone calls and receives and directs visitors
  • All related duties as assigned the President or his/her designee


Marginal Duties

  • May be asked to coordinate affairs at the Presidents House including but not limited to: coordinating events, vendor management, catering, working with facilities management on maintenance and work orders, and working with all appropriate departments ensuring that everything is handled in a timely and

professional manner with the least amount of disruption.
Minimum Qualifications
Associates degree required; Bachelor's degree preferred. Seven to ten years of experience in a fast-paced, high level administrative/professional support role for an executive is required. Must be able to shift priorities quickly and be able to handle frequent interruptions. Requires excellent interpersonal communication skills, relationship management skills, problem solving ability. Strong writing abilities with capacity to tailor a communication to the audience and delivery mode. Requires a self-directed individual who can handle multiple projects and regular interruptions. Also requires a high degree of discretion due to confidentiality and a professional demeanor as well as a commitment to customer service. Solid technical skills required including MS Office.

Supervisory Responsibilities
None at this time. Job may grow to include some supervisory responsibilities.

Work Environment
The executive assistant will often be required to work earlier or later than the standard hours, including some weekend work in order to accommodate the President's schedule. Off hours support will also be required for special functions in which he/she is coordinating.

Physical Demands
Part of the day is spent at a PC in a sedentary position creating eye strain and fatigue.
