Job Summary


The Administrative Support Assistant, Institutional Effectiveness, provides specialized support for various testing procedures and programs. This is skilled testing work that requires the use of College applications and computer information systems.


Duties & Responsibilities


  • Provides administrative support to all functions of the Office of Institutional Effectiveness
  • Ensures that testing and assessment support work is performed efficiently and in compliance with State regulations and College policies
  • Facilitates student progress and graduation by researching test scores, updating test records, and processing test waiver requests
  • Interprets and implements complex testing policies and procedures
  • Keeps accurate confidential records and ensures the integrity and security of all exams
  • Reviews multiple download reports for a variety of tests; modifies, purges, adds missing scores to existing records; then maintains master files for each report
  • Operates scanner and converts confidential documents into electronic format
  • Maintains the clerical operations and filing systemsof the department and assists the director in performing departmental functions
  • Assesses portals and files related to assessment, program review, and continuous improvement
  • Collaborates with district and campus testing staff to ensure timely completion of projects and assignments
  • Assists Reports Specialist with preparing payroll, department requisitions, disbursements, agreement for services, and budget reports
  • Assists with the maintenance of various web pages' layout and content
  • Maintains Testing's Facebook account and online appointment system
  • Provides testing support services on and off campus, as necessary
  • Performs other duties as assigned



Minimum Requirements


  • Associate's degree or two years of college (60 credits) from a regionally accredited institution and two (2) years of experience in testing and/or office-related testing work; or equivalent combination of education, experience and training
  • All degrees must be from a regionally accredited institution
  • Knowledge and understanding of College policy, procedure, state rules and statutes
  • Proficiency in Microsoft Office and software applications, to include word processing, spreadsheets, and computer keyboarding skills
  • Possess excellent oral, communication and customer service skills
  • Ability to maintain the strictest confidentiality concerning all testing information
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to carry out supervisory responsibilities in accordance with the College's policies and applicable laws, including: interviewing, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems
  • Ability to handle and organize multiple projects
  • Ability to demonstrated effective time-management and organizational skills with attention to detail
  • Ability to maintain effective interpersonal relations with students, faculty and administration
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and staff
  • Ability to work a flexible schedule that may include evening and weekend assignments
