What Your Key Responsibilities Will Be

Administrative & Office Coordinator

  • Act as primary point of contact for visitors, faculty, students or vendors, as well as point-of-contact for communications via email and phone inquiries.
  • Manage day-to-day office duties, including but not limited to: reception, office organization, storage, supplies and some database management.
  • Support the ATLAS leadership for priority action items, as needed.
  • Manage and track general ATLAS office supplies and equipment and initiates purchases as appropriate according to University rules.
  • Serve as administrative liaison for additional purchasing requests submitted by ATLAS faculty and staff; track and manage the shipping/receiving for each unit, program or department.
  • Oversee student employees, including training, assignment of duties and supervising performance, scheduling and overall coordination of efforts, including administrative support or equipment check out, interceding when necessary to support or address any issues or conflicts.


Building Proctor & Facilities Assistant

  • Serve as the designated Building Proctor for the Roser ATLAS Building, including all departments or units housed therein.
  • Work closely with the Assistant Director of Operations on building or space issues, including maintenance and repair of the building, as well as liaising with Facilities Management.
  • Coordinate access for student and faculty to ATLAS facilities, as appropriate, including managing CCure system and tracking permissions.
  • Maintain room scheduling and reservations process in support of the various activities organized by ATLAS and its units, including pertinent details about building access or technical support as needed.
  • Proactively monitor and manage public spaces and classrooms and assessing needed cleaning, maintenance, repairs or addressing any issues, including scheduling regular facility maintenance.
  • Work in coordination with the Assistant Director of Operations to synchronize any furniture shifts, office reconfiguration, disposal requests and storage needs.
  • Troubleshoot basic technical issues and serve as liaison with campus service units, including OIT, FacMan, Parking Services, CUPD or Telecom.


Promotions & Communications Assistant

  • Assist in efforts to promote and market various ATLAS events, talks or workshops. This may include coordination of in-house printing for posters or flyers, as well as working with outside vendors for this service. Additional tasks might include posting event notifications on social media platforms, including Facebook or Twitter.
  • Assist in maintaining the internal calendars and tracking upcoming events to help provide some coordination for promotions and communications tasks.


Event Support

  • Support scheduling of gatherings, including staff meetings, faculty seminars, student groups and outreach efforts, as appropriate. On occasion, event support may also include set up and clean up, as well as occasional work on weekends and evenings.
  • Assist in the organization of large scale events as part of the ATLAS team of staff members. This might include the annual ATLAS Expo (student showcase) and Research Open House, as well as the end of semester ATLAS Graduation ceremonies (Dec/May).

The anticipated starting salary is $34,068.

What We Require

  • Two years of general clerical experience.
    • At the agency’s discretion, college or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis.
  • Must be a Colorado resident.


What You Will Need

  • Attention to detail and ability to multi-task multiple projects.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Excellent communication, interpersonal and organizational skills.
  • Ability to work independently, as well as on a team.


What We Would Like You To Have

  • Overall interest and comfort working with technology and computer programs, including a willingness to learn new software applications.
  • Planning and executing small to large-scale events with 10 - 100+ attendees.
  • Familiarity with any desktop publishing tools or programs, such as Adobe, and/or simple web design tools, such as Web Express, WordPress or Drupal.
  • Experience working with students and faculty in a higher education environment. (Preferably engineering).
  • Occasionally work on both weekends and evenings, as needed.
