Position Summary: The Center for Nanotechnology in Drug Delivery in the UNC Eshelman School of Pharmacy is seeking to fill an Administrative Support Specialist position. This position acts as the first point of contact that provides center-based administrative support to faculty and staff in the Center for Nanotechnology in Drug Delivery in the UNC Eshelman School of Pharmacy. Provide administrative support at a high performing level with calendaring and scheduling meetings for faculty and staff. Provide clerical support as needed for grants, special projects, conference registrations, filing, maintain records or programmatic activities for use in subsequent years, with the process and maintenance of confidential documents and information. Proofread and edit correspondence, reports, records, etc. as necessary. Scan and mailing of documents as needed for faculty within the Center. Initiate and follow-up on routine correspondence. Assistance with regular and special communication, preparing drafts and final copy for distribution. Answer incoming calls, monitor/order supplies for the Center. Assist faculty and staff with coordinating travel, handling financial reporting for travel and business expenses, and assist with the planning and administration of faculty courses. Work with faculty and course TA's in preparing syllabi, lecture materials, handouts and copying quizzes and exams for professional and graduate work. Coordinate meeting events and forums to include: room reservations, agenda materials, meeting minutes, and refreshments as appropriate. Organize, coordinate and facilitate center seminar series or guest speakers for graduate courses. Lead in the coordination of seminar series and special events to include (speakers' communications, room reservations, travel arrangements, Av and audio equipment, etc.). Assist with organizing events for the Center. Assist the Director of the Center, Division Assistant Director of Business Operations, and Core Directors with managing the ongoing projects in the Center. Assistance includes recruitment of new personnel, progress reports, billing, as assigned. Update content on websites. Assist with other duties that may be required, as needed. Communicate with individuals in person, on the telephone and in written communications with a wide variety of people and offices including students, staff, postdoctoral research associate, faculty, visiting scholars and administrative officers. Possess expertise using all Microsoft Office products, have demonstrated ability to easily and quickly learn new software programs. The demonstrated ability to prioritize schedules, decisions and actions to achieve the goals of the Center is essential.
