The Division of Rheumatology has an opening for a full-time, University Staff (unclassified) Fellowship Coordinator (Business Services Professional) position.

The Division of Rheumatology exists to care for patients with rheumatic diseases; to teach undergraduate students, interns, residents, fellows, and practicing physicians; and to conduct research concerning the prevention, treatment and cure for Rheumatic diseases. This full-time (1.0FTE) benefits-eligible, University Staff (unclassified) position exists to plan, organize and carry out program support for the Division of Rheumatology's Residency, Fellowship and other Student Education Programs. This position oversees the resident elective and serves as the Division's education liaison by providing an interface between the University, the University of Colorado Hospital, the Denver VA, National Jewish Health, and Denver Health Hospitals. This position makes decisions which relieve the Residency and Fellowship Directors of administrative duties. These decisions include interpreting, procedures and guidelines and scheduling teaching activities. This position also provides daily program support to the Division of Rheumatology by organizing and completing work processes that facilitate smooth functioning of the division's education, research and patient missions.

Examples of Work Performed

Fellowship Program Administration:
  • Manage the day-to-day operations for the program to ensure the overall goals and objectives are accomplished; act as a liaison between fellows, division, department, and other constituents, including the office of Graduate Medical Education (GME) and University of Colorado Hospital (UCH) and other affiliates; create and oversee rotation schedules with assistance from the fellowship director; suggest improvements in the management of the rotation schedules including identifying cost cutting measures as well as more efficient practices; monitor resident schedules to ensure compliance with ACGME work hour rules by both residents and faculty and assist with notifying the appropriate individuals with any discrepancies.
  • Work with training director to ensure that all policies and procedures of the ACGME, RRC and UCD GME office or other accrediting authorities are met and that the programs with withstand an audit by any of these regulatory agencies
  • Manage the application process through the Electronic Fellowship Application System (ERAS); assist with new recruit interviews with faculty, complete new contract packages for new fellows and continuing fellows on an annual basis; consult with the fellowship program director on relevant issues regarding the administration of the fellowship program.
  • Reconcile and maintain database to monitor trainee progress, trainee milestones, and future deadlines. Maintain alumni database to track careers of alumni and for communicating with alumni as needed.
  • Assist with program planning and future development of the fellowship program including the academic and clinical requirements to ensure accreditation standards are met; identify and help resolve resident issues and program administrative problems.
  • Facilitate and track training related expenses for fellowship trainees; develop reports for the program director to ensure all programmatic functions for the program are within guidelines and regulations; complete surveys and standard reports as requested.
  • Act as the program administrator in MedHub, an Evaluation software, which includes monitoring duty hours, low score alerts, creating a delivering evaluations, tracking conference components, and generating evaluation based reports for fellows and faculty.
  • Act as the Medical Student Elective Coordinator - coordination of elective, enter grades, and ensure proper access to hospitals; monitor, match and track evaluations through New Innovations, and evaluation software; generate evaluation reports for fellows and faculty.
  • Collaborate with the Division's Grants & Contracts coordinator to ensure fellows are appointed to the T32 at the appropriate training levels and reconciliation of each trainee related expenses.
  • Additional duties as assigned



Division Administration Support:
  • Manage the daily operations of the office, including acting as the division's procurement liaison, timely and accurate purchases and reallocations of faculty expense reports, travel support, inventory tracking and management.
  • Organize travel, meeting schedules and honorarium for visiting speakers for the division (typically 3-4 visitors per academic year).
  • Organize occasional faculty and staff events such as divisional retreats or employee appreciation events.
  • Analyze, interpret requests and information with a high degree of independent decision making and problem-solving.
  • Additional duties as assigned.

Salary and Benefits:
The hiring salary for this position is commensurate with skills and experience. This position is not eligible for overtime compensation.

Qualifications

Minimum Requirements
  • Bachelor's degree
  • Two years of full-time administrative support experience


Preferred Qualifications
  • Previous experience working for an academic medical center, particularly in educational program support.
  • Experience with tracking or scheduling platforms such as AMiON, MedHub, and ERAS.
