The Office of Development (“OOD”) seeks a Talent Acquisition Coordinator who will be a member of the Strategic Talent Management team and manage the scheduling of interviews (in-person, by phone or video) for candidates at various levels and different locations throughout Stanford. The coordinator will use the applicant tracking system (ATS) and Microsoft Office Suite, to develop an organized schedule while balancing both interviewer and candidate availability. The position will interact closely with candidates, recruiters, and interviewers, to ensure a seamless interview process.

Your responsibilities include:

  • Schedule interviews (phone, in-person, video conference), meetings and other calendar items
  • Process a high volume of basic transactions using standard operating procedures and university guidelines for multiple types of HR transactions, including hiring, personnel changes, reclassifications and related activities.
  • Perform duties associated with scheduling (MS Outlook), organizing and digital filing.
  • Perform HR transactional support (timecards, I9s), as needed.
  • Respond to inquiries and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
  • Generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Provide input to continuously improve processes and procedures.
    Other duties may also be assigned.

    To be successful in this position, you will bring:
    • 2+ years of experience working in a role where there is a high volume of scheduling and providing a high level of customer service
    • Bachelor's degree is preferred
    • Proficiency in MS Office Suite, especially with MS Outlook
    • Exceptional attention to detail
    • Excellent verbal and written communication skills. Ability to communicate with all levels of individuals, internal and external to Stanford
    • Organized, efficient and ability to prioritize
    • Enjoy keeping track of people and proven ability to handle a high volume of information
    • Thrive in using creative methods to solve problems
