The Assistant Director of Residential Operations is responsible for assisting in the year round operations of all residential facilities. They are the primary staff member for all matters facilities management of both the undergraduate and graduate housing locations. They oversee the day to day operations of the ID Card Office. They are responsible for summer conference operations and supervision.
-Conduct bi-weekly Residence Hall Walk-throughs with custodial supervisor.
-Manage the coordination of maintenance services for the college-operated properties, including all Residence Halls, Salisbury Estates and the peripheral properties.
-Meet with Facilities Department managers of Technical Trades and Custodial Services to follow up on areas of concern.
-Oversee the key inventory process and distribution system, and manage the card access database.
-Schedule and participate in Residence Hall, Salisbury Estates and Graduate property health and safety inspections.
-Coordinate the January opening and December & May closings of the residence halls for residence life staff, including early arrival and late stay processes.
-Manage Residence Hall and Graduate Housing end of year damage reporting processes.
-Assist Senior Associate Director with all housing selection and assignment processes for both undergraduate and graduate students.
-Maintain working relationship with Salisbury Estates management company.
-Create educational opportunities for undergraduate and graduate students on all processes associated with housing operations under the review of the Senior Associate Director.
-Work closely with Campus Police and Campus Card Access Group to provide access to ID cards and services. Work in partnership with Campus Police, IT and Network Operations, Chartwells, and Facilities to ensure effective coordination of ID related functions across the campus.
-Work closely with the Information Technology Division to develop a technical understanding of the various software programs that interface with the ID system including CBORD, ID works and BASIS.
-Selecting, training, and supervising departmental student employees - front desk & ID office workers.
-Oversee day-to-day operations of ID Card Services.
-Oversee the ID system and the creation of all university IDs.
-In partnership with Campus Police and Facilities, develop systems and policies related to lost card replacement, temporary IDs, and vendor and contractor ID distribution.
-Serve as departmental representative to Card Access Services Committee, including attendance at meetings and representing departmental perspective on issues regarding access on campus.
-In conjunction with the Assistant Director of Res Ed, train the student employees to utilize ID card system & printers.
-Manage the ID office budget.
-Effectively market vendors to maximize visibility to campus population.
-Maintain relationships with all vendors that provide services to the residence halls.
-Coordinate vendor installation and removals, as needed.
-Resource for students related to off-campus housing
-Maintain relationships with off-campus landlords and external posting website
-Collaborate with Assistant Director of Res. Ed on scheduling Community Directors and Summer Crew staffing needs.
-Recruit and manage summer conference crew who prepare residence halls prior to and between conferences and residents.
-At the direction of the Senior Associate Director work in partnership with Facilities and Summer Programs to ensure effective coordination between summer capital projects and maintenance, summer conferences, and student early arrivals for academic year.
-Ensure inspection of spaces prior to move-in date for each summer conferences.
-Coordinate arrival, housing, and departure of summer conferences.
-Manage all ID & Key operations for summer conferences.
-Coordinate the maintenance and cleaning for the residence halls to ensure appropriate preparation for and transition between summer programs, and end/ start of academic year.
-Participate in department and division programs and meetings and serve on departmental and campus committees as appropriate.
-Serve as a member of the Administrator on Call group as coordinated through the Dean of Student office.
- Establish effective working relationships with other campus offices and departments to ensure quality services for the resident population. These offices include, but are not limited to: Office of the Dean of Students, Office of Summer Programs, Facilities, Finance & Operations, Risk Management and Compliance, and Campus Police.
