Summary of the Position

The Housing Operations Specialist is responsible for creating housing assignments, serving as a liaison between Facilities and students for the Infor work order management system and negotiating appropriate response to work order concerns, engaging in discussions with students about the room change process utilizing student development theory to determine whether or not room changes should be made, oversees health & safety inspections for campus and works directly with the Manager of Life Safety Services to create a schedule for regular inspections across each residential building on campus. The HOS will be responsible for the creation and maintenance of the residential center website and will be independently responsible for assessing and responding to questions submitted through the general housing e-mail account. The Housing Operations Specialist will oversee the hiring and develop an ongoing training schedule of undergraduate work-study office assistants, ensuring the main office provides a welcome, effective and inclusive environment. The HOS will be required to live-on campus and serve in the on-duty campus rotation. In that role the HOS will be required to make autonomous decisions regarding the health and safety of students in after-hours scenarios. Additionally, the HOS will be expected to communicate directly to campus partners, families, and senior staff within the Residential Center issues and concerns that the HOS deems to be critical. This position will utilize The Housing Director software by Adirondack Solutions for occupancy management. The Housing Operations Specialist (HOS) will report directly to the Assistant Director of Housing Operations.

Essential Functions

Manages all aspects of housing application, assignment processes, occupancy management, and billing for exchange and transfer students, along with winter and summer housing periods.
Assist the Assistant Director of Housing Operations with University openings and closings, as well as academic year housing assignment processes including room changes, meal plan changes, and housing selection for the 3,400 students that live on campus.
Works with the Assistant Directors who oversee the Resident Assistant and Defined Community processes on residential student housing placements and accurate record keeping.
Provides recruitment, training, development and oversight for work-study office assistants of six to 10 students for the main office operations. Ensures a student development approach with a quality service standard.
Manages the general departmental housing e-mail account for the Residential Center by directing emails to the appropriate staff member, or responding to inquires directly in a timely and accurate manner.
Maintains and updates the Residential Center website including content, data update, and design by connecting with colleagues to insure all appropriate information is accurate.
Utilize the Housing Director Software by Adirondack Solutions for managing housing related information including detailed occupancy reports, and assisting the Assistant Director of Housing Operations in trends and historical data as requested.
Run weekly reports of open work orders and check the Infor work order system to determine when onsite inspection is required to insure student needs have been met.
Assisting with facilitates management and room inspections as it relates to turnover of housing facilities in a timely fashion, including conducting furniture inventory inspections.
Manages the community billing process for campus including timely communication with residential students and accurate billing and record keeping.
Utilize social media to market and promote the Residential Center events, activities, and information.
Coordinate and execute health & safety inspections for all residential students in collaboration with the Life Safety Department.
Employs the Housing Director Software by Adirondack Solutions to contribute to the management of the Residential Center processes including early arrival and late stay coding, key management, and room condition reporting.
Serves as a liaison with Financial Operations as it relates to student billing.
Participate in university wide events such as open houses, orientation, graduation, etc.

Minimum Qualifications(Education and Experience Requirements)

Master's degree in Higher Education Administration or related field required (graduate residence life experience preferred) or a Bachelor's degree with 1-2 years professional residence life experience. Has strong analytical skills and the ability to creatively develop solutions related to systems and processes of housing operations. Organizational skills are required and crucial to the proper function of this position. Applies and keeps abreast of best practices, resources and methods associated with housing operations. Applies solid customer service and emotional intelligence when interacting with students on matters related to housing. Demonstrates effective planning, coordination, organization, communication, problem-solving, and reporting skills, and may also be accountable for independently leading or coordinating projects. Trains and oversees student workers within area. Effective communication skills, including cross-cultural communication skills, as well as experience or interest in working with diverse populations. Sense of humor preferred as is an ability to remain cool under pressure.

Physical Demands

The HOS duty responsibilities include going to the scene of student/facility issues wherever they take place on campus. Climbing stairs and walking down hallways in Residence Halls will be required to accomplish these tasks.
