Job Information

Job Summary:

Based out of Chicago Booth's downtown campus in the Gleacher Center, the Leadership Development team for Parttime MBA programs manages and delivers required and optional leadership development programs for all Evening MBA, Weekend MBA, and Executive MBA program students. The Program Manager role focuses on program, event, and office management to ensure successful outcomes for the program's students.


Program Management and Event Planning

  • Plans, organizes, and implements leadership development sessions for the Evening MBA/Weekend MBA and Executive MBA programs' Leadership Exploration and Development (LEAD) courses which are a graduation requirement.
  • Preplanning and dayof event management, such as partnering with other Chicago Booth teams, creating and implementing program schedules, room planning, AV needs planning, catering, BEO proofing, logistics and flow of students, materials preparation, online presence, and more.
  • Updates and/or revises course material, presentations, etc. as necessary to reflect session redesign/updates.
  • Develops and confirms leadership development course calendar for Evening, Weekend, and Executive MBA leadership development programming.
  • Coordinates with facilitators (internal and external), vendors and staff for most programs regarding scheduling, materials, prework, etc., in collaboration with program leads.
  • Partners with leadership development program leads on event planning and preparation, student registrations, student program and coaching tracking, materials, dayof logistics, program evaluation, etc. for optional programming.
  • Maintains various platforms for student communications, such as Canvas, Google drive, etc.
  • Creates and manages online surveys, summarizes data, and creates reports.

Office Management
  • Manages office operations, including supply inventories, office equipment, Office Supply budget, and team meeting agendas/minutes/events.
  • Liaises with Gleacher and Harper Center Facilities and IT Department on facility, telecommunications and computing issues and support, as needed, and manages all equipment maintenance and repair requests for the office.
  • Supports leadership development budget lead by processing payments, tracking invoices, and reconciling monthly expenses.
  • Manages technical needs for webinars, conferences, etc., as needed.
  • Provides website and other shared drives support for leadership development, as needed.

Additional Requirements

Education, Experience or Certifications

  • Bachelor's degree required.

  • At least two years of event planning, office management or related administrative experience required.
  • Experience with MS Project or similar project management programs preferred.

Technical Knowledge or Skills:
  • Proven computer and research skills (e.g., MS Office, including Word, Excel, PowerPoint, and Outlook email systems) required.
  • Excellent professional verbal, written, and presentation skills, as well as organizational skills and attention to detail required.
  • Ability to handle multiple projects concurrently, while proactively clarifying needs of team and prioritization of tasks required.
  • Ability to take initiative and work with minimal supervision required.
  • Proven ability to work effectively and diplomatically with colleagues, as well as with students, faculty and corporate contacts required.
  • Excellent customer service skills required.
  • Managing stressful situations, frequent interruptions, and multiple demands calmly and successfully required.
  • Proven ability to seek out, coordinate and appropriately disseminate information required.
  • Ability to work extended hours some days, as well as at least 15 evenings and 10 weekend days per year required.
  • Proven ability to perform with quickly shifting priorities required.
  • Strong skills in written and verbal communication required.
  • Ability and commitment to working in a team environment required.
  • Understanding of database management preferred.
  • Processoriented and can document processes we need to repeat preferred.
  • Skilled at creating/editing graphics with PowerPoint preferred.
