Administrative Support lll - Career Development Center

Position Category: Staff - Full-Time

Summary:
This position fulfills a key role in providing clerical and administrative support to the Director of the Career Development Center and his immediate staff. The position performs a variety of administrative duties such as: fiscal accounting, staff support, budget tracking, meeting minutes, and hiring the front desk student employees. Coordinates the operations of the Job Location & Development (JLD) Grant, planning of all staff meetings, events and travel. Responsible for ordering and scheduling of all required training. Responds to incoming calls and provides correct and accurate information. Administers other office duties as needed, including supervision of office support. Maintains inventory and ordering of office equipment and supplies. Establishes, updates, and maintains files.

Required Qualifications:
Graduation from an accredited institution with a bachelor’s degree related to the Summary of Duties, OR any combination of education and/or relevant experience totaling four years.

Knowledge, Skills and Abilities:
  • Administrative knowledge of office methods, techniques, practices and procedures.
  • Experience with Google applications.
  • Knowledge and skill in the use of computers and computer software applications specifically the Microsoft Office Suite of applications including word processing, spreadsheets, email, internet, databases, and presentations.
  • Skill in the preparation and interpretation of reports, charts, graphs, and tables.
  • Strong interpersonal, problem-solving and decision-making skills.
  • Exceptional customer service orientation and phone etiquette.
  • Ability to maintain confidentiality at all times.
  • Ability to follow oral and written procedures and instructions.
  • Ability to communicate effectively, verbally and in writing.
  • Able to meet and work with people of diverse backgrounds.
  • Must demonstrate professional demeanor.
  • Ability to plan and anticipate potential changes and act accordingly.
  • Ability to multitask during the routine course of business.
  • Ability to communicate effectively verbally and in writing.
  • Ability to supervise lower-level staff.
  • Ability to achieve and maintain professionalism of front desk and Career Lab staff.
  • Must be able to travel to JLD conference every year.

Physical Requirements:
Frequently sitting for long periods of time. Frequent use of fine-hand manipulation associated with the use of a computer.

FLSA: Non-Exempt

Pay Range: $25,665 - $32,082
