The Books Division of the University of Chicago Press has been publishing books for scholars, students, and general readers since 1892. The Books Division has published more than eleven thousand books since the Press was founded. The University of Chicago Press's Books Editorial Acquisitions department acquires books that will assist with the Press's mission of disseminating scholarship of the highest standard and to publish serious works that promote education, foster public understanding, and enrich cultural life.

Job Summary:

The University of Chicago Press is seeking a self-starter, devoted and organized individual to join the Books Acquisitions department as an Editorial Associate I. The EA will assist two acquisitions editors in working with prospective authors as well as authors under contract in the consideration of proposed manuscripts, and the completion of manuscripts.


  • Supports the Acquisitions Editors through all stages of the life cycle of the book, from concept through post-publication. Becomes acquainted with editors' networks of authors and advisors and the shape and plans for the editors' lists.
  • Communicates with authors and reviewers via email and phone regarding status of manuscripts and proposals under review and in press. Fields queries and concerns from authors, prospective authors, and reviewers on editors' behalf as needed.
  • Advises authors throughout the submission of final manuscripts and illustration programs; assesses illustrations to ensure that they meet current design and production standards, verifies that permissions for publications have been obtained, and ensures that authors have met the full terms of their contractual submission requirements.
  • Maintains records of all active projects in Press Books database, assists in preparation of author contracts, and oversees payments to reviewers and co-publishers. Ensures data integrity throughout the life of the book.
  • Learn about the Press's publishing programs and the way the Press makes decisions about books and participate in department discussions of proposed projects at press meetings.
  • Help manage and train student assistants.
  • May travel to conferences one to four times per year to represent the Press and meet with prospective authors.

  • Strong interpersonal skills and ability to interact effectively and tactfully with authors, vendors, and members of Press staff required.
  • Strong organizational skills required.
  • Excellent time management skills required, including the ability to multi-task with minimum supervision and meet overlapping deadlines.
  • Meticulous attention to detail required.
  • Ability to work independently and as part of a team required.
  • Analytical skills and the ability to comprehend academic writing required.
  • A genuine interest in and intellectual engagement with the publication of scholarly books required.
  • Decision-making skills required.
  • Ability to handle confidential matters required.
  • Reading proficiency in a foreign language (especially French, Italian, or German) preferred.

Additional Requirements

Education, Experience or Certifications:

  • Bachelor's degree required.
  • Graduate work preferred.

  • A minimum one year of related experience required.

Technical Knowledge or Skills:
  • Microsoft Office required.
  • Excellent computer skills in PC environment and knowledge of Microsoft Word required.
  • Adobe Creative Suite preferred.

Working Conditions and Physical Requirements:
  • Requires some domestic travel.
