The Department of Family Medicine has an opening for a full-time, University Staff (unclassified) Business Services Senior Professional position.

Job Summary:
Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Work is performed fully independently.

Position Emphasis:

The University of Colorado | Anschutz Medical Campus is seeking applications for a Business Services Senior Professional. This full-time, University Staff (unclassified) position is responsible for providing essential operational and project management support to the Chair of the Department of Family Medicine, the head of all clinical, academic, and educational endeavors in the Department. This position will provide high-level project management coordination for the Chair of the Department of Family Medicine, with particular concern for extreme confidentiality and discretion, and will manage projects in which the Chair is involved at a local and national level. This role will: prepare and coordinate materials for the Chair's presentations and meetings including slide presentations, background materials, and formal written documents; oversee critical department-wide projects; compile data and prepare preliminary drafts for various reports, special studies, and surveys; as well as search various resources to locate and assemble specific information. This Business Services Senior Professional will coordinate the overall management of the Chair's daily, monthly, and annual schedule, to include setting priorities, determining access, scheduling and arranging meetings, setting and confirming appointments.

Specific Duties:
  • Provide search committee support which includes travel arrangements and itineraries for candidates and visiting dignitaries (to include processing travel request documents, travel expense summaries, and making required travel arrangements to include transportation, lodging, and itinerary needs); coordinate all travel arrangements and prepare expense reports and reimbursements.
  • Maintain the Chair's files (paper and electronic).
  • Handle all budgetary arrangements for various functions and events, to include various department lectureships with budgets of $5-15K per occurrence.
  • Manages Department issued procurement card.
  • Facilitate the administration, coordination and implementation of procedures and communications and department programmatic efforts.
  • Act as liaison between the Chair and the Department Executive Committee and provide support to Executive Committee functions.
  • Provide support to other programs as assigned.
  • Prioritizes duties and balances responsibilities to ensure an efficient service delivery system and adherence to program guidelines.
  • Improves program operational efficiency through organization, increased communication, dissemination of information, application of work standards, and tracking mechanisms.
  • Identifies projects that may not be on track or for which due dates are approaching; sends reminders, schedules meeting to address issues; takes initiative to implement processes to prevent compromised customer service or missed deadlines.

Salary and Benefits:

The hiring salary for this position has been established at $45,000 - $55,000 and is commensurate with skills and experience. This position is not eligible for overtime compensation.

Qualifications

Minimum Qualifications:

A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution and 2 years of project management experience, which included analyzing data and drafting formal reports/documents.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.

Preferred Qualifications:
  • Five (5) years' of executive level administrative experience.
  • Administrative support experience in higher education, medical school or health sciences setting.
  • Website and/or graphic design experience.
