Summary of Duties:
This position is responsible for providing administrative and staff support duties for Civil and Environmental Engineering under the direction of the Administrative Manager. Duties include internal and external activities, special project coordination, and administrative support. This position will also provide project management support to the team to ensure projects are completed in a timely manner.

This position supports the Chair with professional level assignments and coordinates work with other areas; establishes and maintains schedules and priorities; prepares correspondence, reports, travel itineraries etc. Reviews and researches operating procedures and problems and develops solutions and/or recommendations.

The incumbent coordinates clerical functions of the faculty recruitment process, makes travel arrangements and prepares related paperwork. Additional duties include explaining and interpreting complex policies and operating procedures; responding to inquiries; overseeing office operations such as mail, supplies, equipment, and maintenance requests. Maintaining and revising complex electronic data base files and records. In performing tasks, must apply knowledge of office goals and work commitments to ensure compliance with university regulations and requirements.

The incumbent is responsible for receiving purchase requests, making purchases, notifying customers of order status, logging transactions as they occur and reconciling purchasing documents. Additional responsibilities include making travel arrangements, communicating with travelers, and logging transactions they occur.

This position has delegated authority to act in the absence of the Administrative Manager in areas of substance.

Required Qualifications:
One year of experience as an Administrative Assistant 1 OR a Bachelor’s degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher.
Clerical or office work experience may be substituted for education on a year-for-year basis. Graduate study may substitute for experience on a year for year basis.
