Duties: This coordinator position will provide administrative oversight of clinical flow and operations at the front desk in collaboration with the Office Manager, Drop-In Coordinator, and Executive Team. Responsibilities include acting as a liaison between ProtoCall and CAPS clinical drop-in team and Clinical Director, logging and tracking Protocall data, and providing backup support to front desk staff checking in and scheduling clients. (Phone and in-person) Additional tasks include evaluating and tracking the ACD phone system and ensuring call management and routing in concert with technology staff as needed. This coordinator position will be the point person in the resolution of caller transfers and will be involved in some data integration between the front desk activity and CAPS software. Position requires knowledge of departmental systems, services, and programs. Other duties relate to CAPS clinical operations and data tracking as assigned.
Qualifications: A Bachelor's Degree and 2 years to 3 years of experience or equivalent combination of education and experience is required.. Demonstrated experience in an office setting using electronic records, data tracking, experience with answering multiple phone lines, transferring calls, and working collaboratively with healthcare providers (mental health or medical), experience working in a reception role interfacing with clients or patients. Effective and professional written and verbal communication skills are necessary. Organizational skills, and a high degree of flexibility, collaborative work experience and efficiency is necessary for this role. The coordinator role requires the ability to tend to details with accuracy and respond to varied demands simultaneously.
